Position Summary: The Assistant Project Manager (APM) supports the successful planning, execution, and closeout of construction projects by providing administrative, operational, and financial coordination throughout the project lifecycle. Working closely with the Project Managers, field leadership, vendors, and clients, this role helps ensure projects are organized, properly documented, financially tracked, and progressing according to schedule.
The Assistant Project Manager plays a key role in managing project documentation, procurement coordination, change management support, cost tracking, client communication, and project closeout activities. This position serves as a bridge between the office and field, helping to resolve issues, maintain communication, and keep project teams aligned.
This role is ideal for a developing construction professional who is detail-oriented, proactive, and eager to build strong project management skills. The Assistant Project Manager is expected to develop a solid understanding of construction operations, subcontract administration, project financials, scheduling, and risk management while progressively taking ownership of larger responsibilities as experience grows.
Essential Job Functions:
Project Administration & Start Up:
- Assist Project Managers with project setup from turnover through closeout
- Set up project folders, tracking logs, and internal documentation
- Prepare project startup checklists and ensure all required documentation is in place
- Prepare and distribute project reports and updates
- Organize and schedule project meetings, site visits, and inspections
- Attend project coordination meetings and document action items
- Monitor and advise team members about project schedules
- Communicate scheduling changes to internal teams, vendors, and subcontractors
- Assist with procurement and tracking of project materials and equipment
- Obtain pricing, proposals, and lead time information from suppliers
- Issue purchase orders as directed
- Coordinate project resources, including project vendors
- Monitor project progress and report to project management team on key milestones
- Track potential change events and maintain change order logs
- Collect pricing, backup documentation, labor/material costs, and schedule impacts for any change orders.
- Populate and maintain project management software
- Assist with job cost tracking and budget monitoring
- Assist with tracking labor productivity, committed costs, and budget variance
- Support pay application preparation and collection of required supporting documentation
Project Close-Out:
- Track compliance items including insurance certificates, lien waivers, certified payroll (if applicable), and closeout documentation
- Assist with punch list management and completion tracking
- Compile O&M manuals, warranties, product documentation, and closeout packages
- Ensure all final documentation is complete prior to project closeout
Document Control:
- Manage and track submittals, shop drawings, product data, and samples
- Maintain accurate project documentation, including change order logs, RFIs, RFI logs, project progress reports, and meeting minutes
- Distribute updated project documents to field teams and internal management teams
- Review project RFIs for applicable scope
- Respond, in writing, to RFIs to notify Clients of potential impact within contractual timelines
- Maintain Company warranty logs
- Assist in maintaining project and project billing files
Client & Communication Support:
- Facilitate effective communication among team members and project personnel
- Respond to calls and emails within 2 business days
- Attend site safety and quality inspections
- Develop and maintain positive relationships with a variety of Clients
- Address project conflicts or challenges with understanding and care
- Actively participate and provide productive and constructive feedback in weekly team meetings
Field Support:
- Serve as an administrative and coordination resource for field teams
- Help ensure crews have current drawings, approved submittals, and necessary project information
- Assist with issue resolution between office and field teams
- Conduct periodic jobsite visits as needed
- Actively participate in and advocate for safe work practices

PHYSICAL REQUIREMENTS:
- Must be able to occasionally lift and carry up to 50 pounds at least 25 feet
- Must be able to lift and carry 20 pounds throughout the workday
- Must be able to travel throughout Metro Denver, occasionally out of town and/or out of state and overnight
- Must be able to sit or stand for extended periods of time
- Must be able to withstand repetitive motion
- Must be able to withstand artificial LED light

Experience and Education:
- 1-3 Years commercial construction experience is preferred
- Degree in Construction Management is preferred but relevant work experience will be considered.
- Experience with various PM software programs (ProCore, MS Project, ProjectSight, BIM360, Helix, etc) is preferred
Bi-Lingual is preferred
