Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant/Receptionist to support our team in daily office operations. The ideal candidate will possess strong time management skills and the ability to multitask effectively in a fast-paced environment. This role involves managing office tasks and providing support to the Administration Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet and welcome guests as soon as they arrive at the office.
- Direct guests & vendors to the appropiate person and office.
- Help organize company events, meetings, and activities.
- Provide accurate information via email, in person or by phone.
- Compose and type routine correspondence, make copies and prepare for outgoing mail.
- Book travel accommodations.
- Manage meeting rooms.
- Maintain a master copy of the employee locker list and distribute keys.
- Maintain inventory and distribute employee uniforms.
- Answer, screen and forward phone calls.
- Coordinate general office operations, including supplies management and office equipment maintenance.
- Oversee office key program. Assign and deliver office keys. Maintain a master copy of assigned keys and key locations.
- Maintain office furniture inventory and office assignments.
- Arrange payment for all facility bills, expenses, and supplies through internal processes.
- Coordinate with company driver to arrange trips and vehicle maintenance.
- Responsible for other similar administrative duties.
EDUCATION/EXPERIENCE:
High School diploma or equivalent, associate degree preferred
2 plus years in an Administrative Role
Proficiency in Microsoft office
Must have strong organizational and time management skills
Proven problem solver in thinking outside of the box
WORK ENVIRONMENT:
The work is typically performed indoors and outdoors. Sitting, standing, walking, and lifting daily.
PHYSICAL DEMANDS:
Must be able to carry up to 50 lbs.
