Intake Specialist & Case Manager (Sales & Client Relations)

Schedule: Monday – Friday, 11:00 AM – 8:00 PM EST

About the Role
We are seeking a high-performing Intake Specialist & Case Manager to join our growing team. This unique hybrid role is designed for a professional who excels at the "art of the sale" while maintaining the organizational discipline required for long-term case management.
As a 1099 contractor, you will be the first point of contact for prospective clients, responsible for converting inquiries into active cases, and ensuring those clients receive seamless support throughout their journey with our firm.
Key Responsibilities1. Sales & Lead Conversion
- Respond to Inquiries: Promptly handle incoming calls, emails, and web leads during the 11 AM – 8 PM EST shift with a focus on empathy and persuasion.
- Client Qualification: Conduct initial screenings to determine if prospective clients meet our criteria.
- Closing: Articulate the value of our services to "close the deal" and secure signed retainers/contracts.
- Follow-up: Maintain a rigorous follow-up schedule for leads that haven't yet committed.
2. Intake & Onboarding
- Data Collection: Gather detailed information, documentation, and evidence required to open a new case.
- System Management: Input and maintain accurate client data within our CRM (e.g., Salesforce, Clio, or HubSpot).
- Document Preparation: Draft and send initial engagement letters and onboarding packets.
3. Case Management
- Client Relationship Management: Serve as a consistent point of contact, providing regular status updates to clients.
- Coordination: Work closely with the team to ensure all deadlines are met and milestones are achieved.
- File Maintenance: Ensure all case files are organized, compliant, and up-to-date.
Qualifications
- Experience: 2+ years of experience in sales, intake, or case management (Legal, Medical, or Insurance backgrounds preferred).
- Communication: Exceptional verbal and written communication skills with the ability to build rapport quickly.
- Organization: High level of attention to detail and the ability to manage multiple moving parts without things falling through the cracks.
- Tech-Savvy: Proficiency with Google Workspace, Click it up, Zoom and Slack
- Work Environment: As this is a remote 1099 position, you must have a reliable high-speed internet connection and a quiet, professional home office setup.
