Receptionist / Administrative Assistant – Aesthetic Clinic
InfuDerm Aesthetic Clinic is seeking an experienced, professional, and sales-oriented Aesthetic Clinic Receptionist / Patient Coordinator to join our team.
This is much more than a traditional front-desk position. We are looking for someone who understands the aesthetic and medical spa industry and can confidently guide a patient from their first inquiry through consultation, treatment, follow-up, and future services.
The ideal candidate is personable, organized, proactive, comfortable discussing aesthetic treatments, and able to convert inquiries and leads into booked appointments while providing an exceptional patient experience.

Responsibilities:
- Greet and check in clients in a professional and welcoming manner
- Answer phone calls, schedule appointments, and manage calendars
- Handle client inquiries and provide basic information about services
Requirements:
- Welcome patients and provide a professional, friendly, high-end experience.
- Answer incoming calls, texts, online inquiries, and leads promptly.
- Follow up consistently with new and existing leads to convert inquiries into appointments.
- Understand each patient’s goals and help guide them through the appropriate treatment journey.
- Explain our aesthetic services, treatment process, preparation, aftercare, packages, and available products within the scope of the role.
- Schedule and confirm appointments and maintain an organized provider schedule.Manage patient intake, forms, consents, and other front-office documentation.
- Check patients in and out and process payments.Follow up with patients after treatments and assist with scheduling their next recommended appointment.Educate patients about treatment packages, memberships, promotions, skincare products, and complementary services.Upsell and cross-sell services and products appropriately based on the patient’s interests and treatment goals.
- Maintain strong relationships with existing patients and encourage patient retention.
- Manage appointment reminders, cancellations, rescheduling, and waitlists.
- Assist with inventory and supply management, including monitoring stock and communicating when supplies need to be reordered.
- Maintain an organized, clean, professional front-office and patient-facing environment.
- Coordinate with nurses, nurse practitioners, estheticians, and other team members to ensure smooth daily operations.
- Assist management with general office operations and administrative responsibilities.Maintain patient confidentiality and follow HIPAA and clinic policies.
Preferred Qualifications
- Previous experience in an aesthetic clinic, medical spa, dermatology, plastic surgery, cosmetic practice, or similar environment strongly preferred.
- Strong knowledge or familiarity with aesthetic treatments and skincare.
- Excellent communication and interpersonal skills.
- Comfortable discussing pricing, packages, promotions, and treatment options with patients.
- Strong sales and lead-conversion skills.
- Ability to build relationships without using high-pressure sales techniques.
- Excellent phone, text, and in-person communication skills.
- Strong organizational and multitasking abilities.
- Comfortable learning scheduling, CRM, patient-management, and payment systems.
- Dependable, punctual, professional, and able to take ownership of responsibilities.
- Able to work effectively in a fast-paced environment and coordinate with both clinical and non-clinical staff.
Services You May Discuss With Patients
- Our services include aesthetic and wellness treatments such as Botox and other injectables, dermal fillers, Morpheus8/RF microneedling, SkinPen microneedling, PRP/PRF treatments, EZ Gel, laser hair removal, HydraFacial, customized facials, IV therapy, and other aesthetic services.
- Clinical recommendations and medical decisions are made by our licensed clinical providers; the Patient Coordinator helps patients understand the process and navigate their overall experience.
