About Our Team
We are a collaborative practice led by two experienced financial advisors, operating in a family office-style environment with a focus on multi-generational financial planning. We currently serve more than 400 client families and advise on over $350 million in assets under management.

Position Overview
The Executive Coordinator & Client Experience Manager serves as the central hub of our office and is often the first impression clients have of our practice. This individual is responsible for managing advisor calendars and scheduling, coordinating marketing initiatives and client events, supporting office operations, and helping deliver an exceptional client experience at every interaction.
Key Responsibilities
Client Experience & Service
- Serve as the first point of contact for clients visiting, calling, or emailing the office
- Greet clients and guests in a warm, professional manner
- Answer incoming phone calls and direct inquiries appropriately
- Assist clients with service-related questions and Ameriprise website navigation
- Coordinate meeting preparation and post-meeting follow-up activities
- Update and maintain client contact information and records
- Help ensure every client interaction reflects the high standards of the practice
Executive Coordination & Calendar Management
- Manage advisor calendars and schedules
- Schedule, reschedule, and confirm client appointments
- Coordinate internal meetings, team meetings, and wholesaler meetings
- Send appointment reminders and meeting confirmations
- Proactively manage scheduling conflicts and changes
- Support workflow management and office prioritization
Marketing & Event Management
- Coordinate client appreciation events, educational workshops, seminars, and community outreach activities
- Manage event logistics including invitations, RSVPs, vendor coordination, venue management, and follow-up communication
- Maintain marketing calendars and campaign schedules
- Manage advisor websites and social media presence
- Create engaging content for social media and client communications
- Track marketing results, event attendance, referrals, and campaign effectiveness
Practice Management & Office Operations
- Maintain client files and records
- Assist with compliance and licensing tracking
- Complete daily mail and check processing logs
- Order and maintain office supplies
- Coordinate office projects and team initiatives
- Support special projects and additional responsibilities as assigned
Qualifications
- Associate or Bachelor’s degree preferred
- 2+ years of experience in administrative support, executive coordination, office management, client service, marketing, or a related field
- Outstanding organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to prioritize and manage multiple responsibilities simultaneously
- Strong attention to detail and follow-through
- High level of discretion, integrity, and professionalism
Preferred Experience
- Experience in financial services, banking, insurance, accounting, legal, or other professional service environments
- Experience managing calendars and coordinating meetings
- Experience planning client events and marketing campaigns
- Social media management experience
- Salesforce or CRM experience
- Experience with Microsoft Outlook, Excel, Word, Teams, and Adobe products
Compensation & Benefits

Annual Salary Range: $45,000 to $60,000
