Job Overview
Buffalo Interventional Pain Management is seeking a detail-oriented Patient Care Coordinator to support patient care and office operations. This position is responsible for obtaining insurance authorizations, coordinating procedure scheduling, managing patient appointments, and ensuring timely communication with patients, providers, and insurance companies, and general medical office support.
Prior Authorization
- Obtain prior authorizations for office visits, procedures, imaging studies, and medications as required by insurance carriers.
- Submit clinical documentation to insurance companies.
- Monitor authorization status and follow up on pending requests.
- Document authorization information accurately in the EMR.
- Communicate authorization approvals, denials, and requirements to clinical staff.
- Assist with appeals and additional documentation requests when needed.
Scheduling
- Schedule new patient consultations, follow-up appointments, and interventional pain procedures.
- Coordinate procedure dates, insurance requirements, and patient availability.
- Verify patient demographics and insurance information.
- Confirm appointments and communicate preparation instructions.
- Manage schedule changes, cancellations, and rescheduling requests.
- Maintain efficient provider schedules while maximizing patient access.
Administrative Responsibilities
- Answer incoming telephone calls professionally and courteously.
- Monitor office email and patient communications.
- Assist with scanning, faxing, and medical records requests.
- Support front desk operations as needed.
- Maintain patient confidentiality and HIPAA compliance.
- Cross-train in other office workflows to support team coverage.
Qualifications
- Prior authorization experience preferred.
- Medical scheduling experience preferred.
- Knowledge of insurance verification and authorization processes.
- Experience with EMR systems; MEDENT experience preferred.
- Strong organizational and communication skills.
- Ability to multitask in a fast-paced medical office environment.
- High attention to detail and accuracy.

Pay: $22.00 - $25.00 per hour
