About the Role
Kenney Business Solutions, Inc. (KBS) is seeking a Administrative Support Specialist / Receptionist to support the U.S. Trade and Development Agency (USTDA) in Arlington, VA. This position staffs one of USTDA's two reception desks and manages all front-desk operations including visitor intake, badging, phone/call routing, and conference room scheduling assistance. This candidate greets visitors at all levels — including foreign government officials and Congressional staff — and must maintain a professional presence at all times. Cross-coverage of the second desk during breaks, leave, or absences is a defined operational requirement.
KEY RESPONSIBILITIES:
- Staff and operate one USTDA reception area during all normal business hours (8:30 AM – 5:30 PM); provide cross-coverage for the second reception desk during breaks, planned leave, and unscheduled absences per Section D.1.3.2.1
- Receive and greet incoming visitors including high-level foreign and U.S. government officials, Congressional staff, and private sector executives; issue visitor badges and maintain visitor log.
- Manage incoming telephone calls; route calls and inquiries to appropriate offices or individuals.
- Coordinate visitor access with building security; arrange local transportation, parking reservations, and Metro card distribution.
- Assist with conference room scheduling, meeting preparation, and package receipt and distribution.
- Maintain the reception area in a clean, organized, and professional manner at all times.
- Perform other administrative support duties as directed including data entry, correspondence assistance, and supply tracking.
REQUIRED QUALIFICATIONS:
- High school diploma required; higher education preferred.
- 1–3 years of experience in a professional office as a receptionist or administrative support assistant.
- Experience handling high-level visitors and multi-line telephone systems.
- Strong written and verbal communication skills; professional demeanor required at all times.
- Secret security clearance required (or ability to obtain; interim acceptable per D.1.5.1)
- Proficiency in Microsoft Office Suite.
- Must be a U.S. Citizen.
PREFERRED QUALIFICATIONS:
- Prior experience in a federal government agency reception environment.
- Experience managing visitor access systems or building security coordination.
- Familiarity with federal correspondence procedures.
