Title: Senior Legal Secretary

McAloon & Friedman provides a full range of legal services and counsel related to the practice of medicine, with a concentration on medical malpractice defense. Job Description:
Primary responsibilities of the Senior Legal Secretary include all aspects of administrative and clerical tasks. This role will work under the guidance of one or more attorneys and will also provide support to the Senior Partner(s).
Responsibilities
· A large responsibility will be the email management for Attorney to allow for more focused time. This will include monitoring incoming emails, prioritizing emails, preparing email responses, and filing emails to client folders, and properly filing emails
· Maintain strong customer service and standards of professionalism in all communication
· Filing and saving documents within client files and providing updates via our case management software
· Tracking time within our case management software for anything completed on behalf of a client
· Responding to information requests by telephone and email on behalf of Attorney to answer questions, provide information, and share next steps with clients, opposing counsel, and other various parties (often confidential in nature).
· Coordination of meetings, to include the consideration of and responsibility for ensuring all necessary arrangements are made
· Type letters, correspondence, presentations, reports and legal documentation, including digital dictation where applicable
· Prepare and/or ensure availability of necessary agendas, presentations and meeting papers, including printing and timely distribution
· Maintains the highest levels of confidentiality, discretion, and integrity.
· Attorney monthly billing
· E-filing
· Performs other duties as assigned
Qualifications
· Proven experience as Legal Secretary, preferably with med mal experience.
· Strong analytical, follow-through, organizational and time management skills.
· Knowledge of constitution, legal terminology, regulations and court system
· Knowledge of MS Office programs and ability to work with legal technology (court-filing computer systems, transcription software, dictaphone etc.)
· Working knowledge of litigation management software systems is a plus
· Ability to multitask and being comfortable dealing with a diverse pool of people
· Legal Secretary certification or diploma
Pay: $85,000.00 - $90,000.00 per year
