The Music Ministry Administrative Assistant provides comprehensive administrative and operational support to the Music Ministry. This individual serves as a key resource for musicians, vocalists, ministry leaders, and congregants by coordinating schedules, managing communications, organizing events and rehearsals, and supporting worship planning efforts. The ideal candidate will possess a strong background in music and a working knowledge of church music ministry, enabling them to effectively support the mission and goals of the ministry.
Key Responsibilities
- Provide administrative support to the Minister of Music, Worship Pastor, and Music Ministry leadership team.
- Coordinate and maintain ministry calendars, rehearsal schedules, performances, worship services, and special events.
- Prepare and distribute music ministry communications, announcements, schedules, and correspondence.
- Assist with worship service planning, music selections, and preparation of worship materials.
- Maintain organized records for choir members, musicians, volunteers, attendance, and ministry activities.
- Coordinate logistics for rehearsals, performances, concerts, special services, and ministry events.
- Serve as a liaison between music ministry leadership, musicians, vocalists, volunteers, and church staff.
- Manage music library resources, sheet music distribution, and ministry documentation.
- Assist with budgeting, purchase requests, invoices, and expense tracking as needed.
- Ensure timely communication regarding schedule changes, rehearsals, and ministry updates.
- Support recruitment, onboarding, and engagement efforts for choir and music ministry participants.
- Perform additional administrative duties as assigned.
Qualifications
Required
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Minimum of 2 years of administrative support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, communication, and time-management skills.
- Ability to handle multiple priorities while maintaining professionalism and confidentiality.
- Strong attention to detail and follow-through.
