We are seeking a highly organized, proactive Executive Operations Coordinator to support our executive leadership team within a growing healthcare organization. This is not a traditional administrative position. We're looking for a strategic, tech-savvy professional who can leverage AI to improve operations, analyze business data, coordinate executive initiatives, and serve as a trusted partner to leadership.
This role requires someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and is equally comfortable supporting executives, coordinating projects, planning events, and improving business processes.
Previous experience in a Skilled Nursing Facility (SNF), Long-Term Care (LTC), nursing home, or another related healthcare setting is required.
Responsibilities
- Provide high-level administrative and operational support to C-Suite executives.
- Manage executive calendars, travel arrangements, meetings, and communications.
- Utilize AI tools to streamline workflows, automate administrative tasks, and improve operational efficiency.
- Coordinate executive meetings, board meetings, leadership retreats, and strategic planning sessions.
- Plan and execute company events, holiday parties, employee recognition events, executive meetings, and corporate functions.
- Assist with operational initiatives, project coordination, and process improvement efforts.
- Analyze operational data and prepare reports to support executive decision-making.
- Develop professional executive presentations and reports using Microsoft PowerPoint and Excel.
- Prepare agendas, meeting minutes, correspondence, and executive materials.
- Build strong relationships with facility leadership, vendors, and corporate team members while providing exceptional customer service.
- Handle confidential information with professionalism and discretion.
- Anticipate executive needs, prioritize competing demands, and proactively solve problems.
Qualifications
- Minimum of 3 years supporting C-Suite executives or senior leadership.
- Required: Experience in Skilled Nursing, Long-Term Care, nursing homes, hospitals, behavioral health, assisted living, home health, hospice, or another related healthcare environment.
- Strong analytical skills with the ability to interpret data and create executive-level reports.
- Advanced proficiency in Microsoft Excel and Microsoft PowerPoint is required.
- Experience using AI to improve workflows, automate processes, and increase operational efficiency.
- Familiarity with Claude Code or other AI-powered productivity tools is highly preferred.
- Proven experience coordinating executive meetings, conferences, leadership retreats, and corporate events.
- Excellent customer service, interpersonal, written, and verbal communication skills.
- Exceptional organizational, time management, and project coordination skills.
- Ability to manage multiple priorities while maintaining professionalism and confidentiality.
- Flexible schedule to accommodate executive and business needs.
- Ability to travel up to 25% for facility visits, meetings, leadership events, and other company functions.
