Position Summary
New York Fragrance Supply Inc., a rapidly growing wholesale and e-commerce distributor of luxury fragrances, cosmetics, and skincare products, is seeking an experienced and highly organized General Manager / Operations Manager to oversee daily business operations across our wholesale, retail, and e-commerce divisions.
The ideal candidate will be responsible for ensuring operational efficiency, maintaining inventory accuracy, managing staff performance, coordinating logistics, and supporting the continued growth of the company across multiple sales channels.
Primary ResponsibilitiesOperations Management
- Oversee day-to-day warehouse and office operations.
- Ensure all departments operate efficiently and in accordance with company procedures.
- Identify operational inefficiencies and implement improvements.
- Develop and maintain SOPs (Standard Operating Procedures) for daily operations.
Inventory Management
- Maintain accurate inventory records across all sales channels.
- Perform regular inventory audits and cycle counts.
- Investigate and resolve inventory discrepancies.
- Coordinate receiving and processing of inbound shipments.
- Monitor inventory levels and communicate replenishment needs.
E-Commerce Management
- Manage inventory synchronization across:
- Shopify
- eBay
- Walmart Marketplace
- Amazon
- Whatnot
- Additional platforms as added
- Ensure listings are accurate and up to date.
- Monitor account health and platform performance metrics.
- Coordinate promotions, pricing updates, and inventory availability.
Wholesale Operations
- Oversee order processing for wholesale customers.
- Ensure orders are picked, packed, and shipped accurately and on time.
- Coordinate freight shipments and communicate with carriers and customers regarding logistics.
- Resolve customer service issues related to shipments, shortages, or damages.
Accounts Receivable / Accounts Payable
- Monitor customer payment status and aging reports.
- Follow up on overdue customer balances.
- Coordinate vendor payments and maintain payment schedules.
- Work with ownership to maintain healthy cash flow management.
Staff Management
- Supervise warehouse and office employees.
- Assign daily tasks and monitor completion.
- Provide employee training and performance feedback.
- Maintain productivity standards and workplace accountability.
- Assist with hiring, onboarding, and employee development.
Logistics and Shipping
- Coordinate domestic and international shipments.
- Schedule freight pickups and deliveries.
- Maintain communication with freight forwarders, carriers, and customs brokers.
- Ensure all shipping documentation is accurate and complete.
Customer Service
- Address customer inquiries and escalations professionally.
- Maintain strong relationships with wholesale clients and vendors.
- Work proactively to resolve issues while protecting company interests.
Reporting and Analytics
- Prepare operational reports for ownership.
- Analyze sales trends, inventory movement, and operational KPIs.
- Identify opportunities to improve margins and operational performance.
Qualifications
- Previous management experience in distribution, wholesale, logistics, e-commerce, or operations management preferred.
- Strong organizational and multitasking abilities.
- Experience with inventory management systems and e-commerce platforms.
- Proficiency with Microsoft Excel and business software systems.
- Strong communication and leadership skills.
- Ability to work in a fast-paced environment and prioritize competing tasks.
Preferred Experience
- Experience with luxury goods, fragrances, cosmetics, or consumer packaged goods.
- Familiarity with Amazon Seller Central, Walmart Marketplace, Shopify, eBay, and Whatnot.
- Experience with shipping logistics and freight coordination.
- Knowledge of inventory control best practices.
Compensation
Compensation will be based on experience and qualifications.
Pay: $75,000.00 - $100,000.00 per year
