Well Planned is a fractional COO/CFO, accounting, and business management firm based in Long Beach, CA, celebrating 10 years in business this year. We work with small businesses across architecture, manufacturing, consumer beverage, athletics, commercial production, and fashion, serving as an embedded operations and finance partner for our clients.
The role
You'll take full ownership of a portfolio of client accounts and serve as the primary point of contact for day-to-day bookkeeping. This role requires independent judgment — identifying issues, prioritizing work, and managing client communication without close supervision.
Clients work with Well Planned because we bring clarity and reassurance to their finances. This role calls for someone who identifies issues and brings solutions along with them, not just problems.
This position starts part-time, at approximately 8 hours a week, with the scope and hours expected to grow alongside our client portfolio.
What you'll do
- Own the books for a portfolio of small business clients, from day-to-day entries through monthly close
- Perform balance sheet reconciliations and prepare journal entries
- Prepare month-end financial statements — profit & loss, balance sheet, and supporting schedules — for each client
- Prepare and file state sales tax returns for applicable clients
- Serve as the primary point of contact for client bookkeeping questions
- Process payroll accurately and on schedule, including wage garnishment reporting and year-end 1099 preparation
- Take on clean-up projects when a client's books need additional support
- Identify and flag issues before they affect the client
What you bring
- Bachelor's degree in Accounting
- 3–5 years of hands-on bookkeeping/accounting experience
- Experience with wage garnishment reporting and year-end 1099 preparation
- Experience preparing and filing state sales tax returns
- Comfort owning a client relationship independently
- QuickBooks Online proficiency; Gusto and Shopify experience a plus
- GAAP experience and general knowledge of tax law as it applies to small business accounting a plus
- Sharp attention to detail — the work isn't complex, but it has to be right every time
- Solutions-oriented — identifies issues and recommends next steps, not just reports problems
- Tech-savvy, with the ability to learn new software and tools quickly
- Self-starter with an upbeat, personable attitude and the initiative to work independently
The details
Schedule: Part-time, approximately 8 hours/week to start, worked as fixed, dedicated hours that we decide together, during business hours (e.g., Monday & Wednesday, 12:00 pm–4:00 pm) — not flexible or after-hours work. Hours expected to grow over time.
Compensation: Commensurate with experience
Location: California-based required — in-office, hybrid, or remote all available
