Job Summary
We are a busy, patient-focused pediatric urgent care clinic in San Mateo seeking a friendly, organized, and dependable Part-Time Medical Receptionist/Office Assistant to join our team. As the first point of contact for our patients and families, you will play a key role in creating a welcoming experience while ensuring the smooth operation of our front office.

Responsibilities
- Greet patients and families warmly, ensuring a positive first impression and efficient check-in process
- Schedule, reschedule, and confirm appointments using electronic scheduling systems - using Advanced MD and SOLV.
- Verify insurance coverage, process payments, and handle medical collections with accuracy and professionalism
- Create, updated and maintain patient charts while ensuring confidentiality and HIPAA compliance.
- Answer multi-line phone systems with courteous phone etiquette; direct calls appropriately and handle patient inquiries effectively
- Assist patients with billing questions and insurance claim inquiries.
- Manage inventory and order office supplies.
- Coordinate administrative projects, update HR records annually and other seasonal projects.
- Preform general front office and administrative duties to support daily clinic operations.
- Support clinical staff by preparing intake forms, updating care plans, and managing documentation review processes.
Requirements
- Prior clinic or medical office experience, preferably in pediatric or dental settings; familiarity with clinic workflows is highly valued, minimum of two years.
- Proficiency in EMR/EHR systems such is a plus
- Strong knowledge of health insurance procedures including verification for Medicare and other insurance providers
- Understanding of medical coding including CPT coding, ICD-9/ICD-10 codes; experience with medical billing is advantageous
- Excellent computer skills with proficiency in Microsoft Office applications (Word, Excel) and typing accuracy
- Bilingual abilities are highly desirable to serve diverse patient populations effectively
- Knowledge of HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times
- Exceptional customer service skills with the ability to handle phone communication professionally and courteously. Strong written skills is essential.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
