Building a cleaner, brighter future requires individuals who are ready to act with purpose and precision. As an Office & HR Manager for our Portland office, you’ll be at the forefront of enabling clean energy innovation, supporting critical initiatives that drive sustainable progress and industry transformation. Your organizational expertise, proactive mindset, and commitment to excellence will empower our leadership team to focus on high-value activities that fuel exceptional growth in a high-impact industry.
About Us:
We are a fast-growing renewable energy development company on a mission to revolutionize the sustainability landscape. Our work directly impacts the fight against climate change while fostering small business excellence. With an entrepreneurial spirit, a dedication to innovation, and a commitment to our core values, we’re building the future of clean energy in the U.S.
The Role:
We're looking for a motivated HR & Office Manager to be the operational backbone of our team. This is a dual-function role: you'll keep our office running smoothly while also owning the people-operations side of the business - benefits administration, onboarding, employee relations, and more. You'll be a trusted resource for our team and a key partner to leadership as we continue to grow.
This is a great fit for someone who thrives in a small-company environment, isn't afraid to build things from scratch, and genuinely enjoys both the people side and the logistics side of keeping an organization humming.
Who You Are:
- Methodical: You approach tasks in an orderly and systematic way, ensuring every detail is accounted for and nothing slips through the cracks.
- Poised: You remain composed, self-assured, and confident even in high-pressure situations.
- Organized: You thrive on structure and method, creating processes and systems that others can rely on.
- Driven: You have a natural drive for harmony, balance, and creativity, offering innovative solutions and ideas to improve environments and workflows.
- Altruistic: You care deeply about supporting others and creating positive, enjoyable experiences for your team.
- Regulatory: You have a strong drive to maintain order and consistency, finding fulfillment in creating systems and maintaining the status quo where needed.
- Calming Presence: You enjoy creating order for those around you, soothing tension and ensuring smooth collaboration.
- Supportive: You love working with and supporting all types of people, helping foster a positive and harmonious workplace for everyone.
Your Responsibilities:
HR & People Operations
- Administer employee benefits programs, including health insurance and retirement plans, serving as the primary point of contact for employees with benefits questions.
- Own the onboarding process end-to-end, ensuring new hires have a smooth and welcoming experience from offer to day one and beyond.
- Maintain accurate and up-to-date employee records and HR documentation.
- Serve as the first point of contact for employee HR questions and concerns while also monitoring anonymous reporting hotline, escalating to external HR counsel or legal as appropriate.
- Support the performance management process, including coordinating review cycles, creating a consistent review framework and maintaining documentation.
- Help develop and refine HR policies, employee handbook content, and internal processes as the company grows.
Operational Excellence:
- Manage day-to-day office operations, ensuring the workspace is organized, well-stocked, and set up for productivity.
- Ensure the office is clean, tidy and presentable at all times.
- Oversee the smooth operation of the office by identifying and addressing maintenance or service needs proactively.
- Identify and manage 3rd party vendors that are necessary to ensure the smooth operation of the office.
- Make sure office supplies are replenished and readily available for team members.
- Support onboarding for new hires (both in office and remote) by procuring computers and office supplies, performing computer and software set up, and taking care of other essentials to ensure a smooth start.
- Ensure all onboarding tasks are completed for new employees before the start date.
- Plan and organize team events and retreats.
- Coordinate weekly team lunches and monthly team brunches.
- Coordinate printing, mail logistics (incoming/outgoing), and generally taking on any administrative tasks that arise for different departments.
- Organize and manage internal communications, ensuring team members are informed about updates, events, and important initiatives.
Culture & Team Support:
- Oversee company swag inventory and décor for new and existing office spaces.
- Help coordinate employee recognition programs and celebrations, such as birthdays, work anniversaries, or milestones.
- Act as a cultural ambassador, fostering a positive and collaborative environment in the office and during team events.
- Help manage and administer an employee handbook.
Process Improvement:
- Develop and refine workflows and processes, continuously improving operational efficiency across the business.
- Create and maintain an internal knowledge base or manual for administrative processes to support continuity and scalability.
- Help organize and maintain the internal employee knowledge base and ensure that all new employees are familiar with and have access to all necessary resources for success.
- Proactively identify inefficiencies or gaps in current systems and suggest actionable improvements.
- Facilitate cross-functional coordination between departments to ensure smooth transitions for projects and initiatives.
We're a growing company, which means this role will grow too. The job duties listed above are a starting point, not a ceiling. You'll have the opportunity to take on new responsibilities and help shape what this position looks like over time.
What We Value:
- Accountability & Ownership: You step up, own your work, and deliver on promises. You see projects through to completion and take responsibility when challenges arise.
- Creativity & Problem-Solving: Challenges are opportunities for innovation. You think critically, explore solutions, and never settle for the status quo.
- Curiosity & Growth-Oriented: You approach tasks with curiosity, a hunger to learn, and the drive to make processes better.
- Initiative/Self-Starter: You act before being asked, spot opportunities others miss, and thrive in a fast-paced environment.
