●Position Summary
The Admissions Coordinator serves as the primary point of contact for individuals and families seeking behavioral health treatment at Serenity Health Group. This role is responsible for managing the full admissions cycle — from initial inquiry through confirmed placement — with a trauma-informed, compassionate approach that reflects SHG’s commitment to accessible, high-quality care. The Admissions Coordinator works across both residential (RTWC) and outpatient (NGRC) settings, conducting pre-screenings, completing insurance verification, coordinating clinical and operational transitions, and supporting census goals. This role requires the ability to manage multiple simultaneous inquiries with accuracy, urgency, and empathy.
Essential Duties and Responsibilities
- Answer, triage, and return calls from prospective clients, families, referral partners, and treatment professionals in a timely, compassionate manner.
- Conduct thorough pre-screening assessments to gather clinical, demographic, and insurance information necessary for placement decisions.
- Complete insurance verification and benefits investigations for all major payers, including commercial insurance, Medicaid, and managed care organizations; communicate benefit structures clearly to clients and families.
- Coordinate with the Clinical Director and/or nursing staff to determine clinical appropriateness and level of care (LOC) for each inquiry — including residential (RTWC), PHP, IOP, and Evening IOP (NGRC).
- Communicate admissions decisions promptly and professionally; coordinate all admission logistics including arrival time, transport, documentation, and first-day orientation preparation.
- Maintain accurate, real-time CRM documentation (KIPU or designated system) for all inquiries, contacts, follow-up attempts, and admissions outcomes.
- Collaborate daily with clinical, nursing, and operations teams to ensure seamless transitions and consistent client experience from inquiry to admission.
- Support census goals by converting qualified inquiries efficiently and escalating complex cases to the Admissions Director as needed.
- Provide exceptional service to clients, families, and referral partners, serving as a compassionate representative of SHG’s mission and values.
- Maintain compliance with HIPAA, state regulations, and SHG privacy and documentation policies at all times.
- Participate in admissions team meetings, training, and performance reviews as required.
- Maintain availability to work evenings, nights, and/or weekends as part of the DART admissions coverage schedule.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree in a health-related, social services, or business field preferred.
- Minimum 1–2 years of experience in behavioral health, healthcare admissions, or a related customer-facing role preferred.
- Working knowledge of behavioral health levels of care (residential, PHP, IOP) and payer authorization processes preferred.
- Proficiency with CRM and/or EMR systems; KIPU experience a plus.
- Strong verbal and written communication skills with demonstrated ability to de-escalate and support individuals in distress.
- Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism.
- Knowledge of HIPAA regulations and patient privacy requirements.
- Must pass background check and drug screening in accordance with SHG policy.
- Must be able to work evenings, nights, and/or weekends as part of the DART coverage rotation.
