NBJI/DCHUX is seeking a highly organized and dependable Assistant Scheduling Manager with healthcare scheduling experience (clinical and surgical) to oversee daily staff coordination, workforce scheduling, and administrative operations in a fast-paced medical office environment.
This role is ideal for candidates with experience in healthcare administration, medical scheduling, workforce coordination, EHR systems, and staff management support.

Core ResponsibilitiesHealthcare Scheduling & Workforce Coordination
- Manage and optimize daily and weekly staff schedules
- Ensure proper coverage for clinical and administrative staff
- Handle last-minute call-outs and shift adjustments
- Maintain compliance with staffing requirements
- Scheduling for clinic and surgery
- Coordinating with insurance when needed for authorizations
- Chart auditing for medical records
- Checking in and out patients
- Collecting patient balances and responsibilities
EHR & Administrative Systems
- Maintain accurate documentation in Electronic Health Records (EHR)
- Update scheduling appointments and internal tracking systems
- Generate reports on staffing, attendance, and coverage gaps
- Assist with admin duties as directed
Office & Communication Support
- Serve as point of contact for scheduling inquiries
- Communicate professionally with providers, staff, and management
- Support leadership with operational coordination
- Maintain confidentiality and HIPAA compliance standards
Qualifications
Required:
- Minimum 3 years of scheduling or healthcare administrative experience
- Experience coordinating staff schedules in a medical or clinical setting
- Strong Microsoft Office skills (Excel, Outlook, Word)
- Excellent organizational and multitasking ability
- Strong written and verbal communication skills
Preferred:
- Bilingual (English/Spanish strongly preferred)
- Experience with EHR systems
- Experience in medical office operations or healthcare workforce management
- Supervisory or team coordination experience
