Position Description
Maintenance Support Tech II: Performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Maintenance Support Tech III: Performs administrative support-related work in a maintenance office or district headquarters [and for one or more projects and/or specialized programs.] [May serve as a lead worker]. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives.
Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Maintenance Support Tech II:

Assists with data entry for construction record-keeping.
-
Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and
sensitive communications. -
Coordinates and tracks the progress of projects and/or specialized programs and informs supervisor or other Department
officials of status. -
Maintains materials inventory.
-
Monitors equipment mileage and service records.
-
Researches and compiles information for reports or inquiries and assists in organizing, coordinating and preparing
written or statistical reports. -
Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front
desk assistant. -
Assists in preparing monthly and final maintenance contract estimates.
-
Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on
adjustments needed. -
Coordinates with District Warehouse personnel on surplus property sales of miscellaneous items.
-
Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical
errors, syntax, style, sentence structure, content, and clarity. -
Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance,
budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities. -
Maintains radio contact with field units; responds to assists with emergency situations as required.

Prepares statistical reports and verifies for accuracy and completeness.

Prepares and distributes correspondence.

Receives, sorts, opens, evaluates content and distributes mail.

Reviews and processes records of completed maintenance projects.

Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and
travel arrangements. -
Performs other job responsibilities as assigned.
Maintenance Support Tech III:

Creates and maintains related activity logs, files and reports on services.

Evaluates and researches information to solve customer service problems.
-
Inputs and maintains daily production reports and compiles monthly reports for manager.
-
Logs, files, and cross-references correspondence; and verifies documents/records.
-
Provides information and assistance pertaining to procedures, laws, rules and/or regulations; refers customers to
appropriate source for problems or questions; processes special applications and reports. -
Retrieves information from master files or databases and verifies against applications, forms and other documents.

Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front
desk assistant. -

Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or
equipment and monitors contracts. -
Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and
travel arrangements. -
Processes receipts and invoices for payment.

Performs other job responsibilities as assigned.
Minimum Qualifications:
High School Grad or Equivalent in general education.
Maintenance Support Tech II: 1 year of experience in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis.
