Job Summary
We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. Responsibilities
- Greet visitors, clients, and staff with professionalism and courtesy, ensuring a positive first impression.
- Manage multi-line phone systems efficiently, directing calls appropriately and providing accurate information.
- Handle data entry tasks with precision using productivity software such as Microsoft Office and Google Workspace.
- Maintain organized filing systems, both electronic and paper-based, to facilitate easy retrieval of documents.
- Support office management duties including calendar management, appointment scheduling, and basic bookkeeping using google sheets and similar software.
- Assist with clerical tasks such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail.
- Provide customer support by addressing inquiries promptly and professionally, demonstrating excellent phone etiquette and customer service skills.
- Coordinate front desk activities with other departments to ensure seamless office operations and effective communication.
- Maintain a clean and organized reception area that reflects a professional environment.
- Support additional administrative functions as needed to enhance overall productivity and office efficiency.
Experience
- Prior experience in an office environment or as a receptionist is required; experience in medical or dental reception is preferred but not mandatory.
- Demonstrated proficiency with office management tools including Microsoft Office Suite, Google Workspace, and data entry software.
- Familiarity with multi-line phone systems and phone etiquette standards.
- Bilingual abilities are highly desirable to serve diverse clientele effectively.
- Proven organizational skills with the ability to manage multiple tasks efficiently while maintaining attention to detail.
- Experience in clerical support roles such as filing, proofreading, or calendar management is advantageous.
- Knowledge of bookkeeping practices using QuickBooks or similar accounting software is a plus.
