Carter Care Therapeutic Services is expanding and excited to bring on a Scheduler/Receptionist to co-prioritize administrative responsibilities on a daily basis. The Scheduler will be a major point of contact to licensed providers, clients, and insurance provider(s). To be successful, our Scheduler should have a passion for being customer centric, results driven, and integral in supporting mental health services.

Responsibilities
- Data & Records: Collect and update patient demographic and insurance information, ensuring accuracy in the EHR.
- Service Coordination: Connect with providers and other staff to manage schedules, book services (as needed), and handle operational flow.
- Insurance & Authorization: Verify patient coverage and obtain authorizations for services.
- Administrative Support: Prepare registration forms, manage patient flow, and maintain confidentiality.
- Provider Caseload Review: Support main scheduler on provider caseloads as needed.
- Appointment Management: Schedule, confirm, and reschedule patient appointments across multiple provider calendars, managing No Shows, cancellations, and urgent requests.
- Patient Communication: Answer calls/emails, greet patients, provide pre-appointment instructions, and address concerns.
- Reports/Submission Audits: Manage claim submission reports, discharge(s), TPIs, and other report reviews as needed in collaboration with the administrative team.
Requirements
- Associates Degree preferred; Minimum High school diploma required
- 3+ yrs proven experience in medical scheduling within clinic, healthcare, or private practice environments; must have advanced knowledge and comfortability navigating EMR/EHR systems.
- Thorough knowledge of HIPAA regulations that ensure patient confidentiality and data security.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment; must be able to accurately review documentation while maintaining strong attention to detail.
- Knowledge of insurance verification processes and medical billing practices; strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and medical guidelines.
- Excellent computer skills including advanced proficiency in Microsoft Office applications and health information management software.
- Exceptional customer service skills with professional phone etiquette and effective communication abilities.
- Bilingual skills are a plus to serve diverse patient populations effectively, but not required.
