The Austin campus features elevated event spaces, lounges, bars, and gardens within an authentic East Austin venue setting. The brand is growing, with Inn Cahoots Nashville opening in 2027, offering opportunities to be part of an expanding hospitality concept that values creativity, service, and community.
THE ROLE
The On-Site Event Coordinator at Inn Cahoots is a crucial role responsible for overseeing event execution at the venue, ensuring a positive experience for clients, guests, vendors, and the staff. This role serves as the primary point of contact during events and is responsible for advancing and coordinating logistics, maintaining venue standards, and resolving issues as they arise.
Responsibilities
- Assist with events from start to finish according to BEO requirements, venue need, and client requests
- Lead onsite event operations the day of the event
- Oversee set-up and load out for events
- Oversee all aspects of event functions, ready to step to take the initiative in any situation, and jump into any role as needed due to client requests, changes in event conditions, and environmental requirements
- Ensuring bar menus are set, or creating bar menus per request
- Coordinates staffing alongside internal team managers
- Ensure décor, lighting, entertainment, AV, security, promotional items, signage, and transportation needs are met
- Collaborates with internal team members in other departments, events department, and vendor teams on the planning and execution of events
- Analyzes challenging situations and makes recommendations for how to address issues and drives resolutions
- Assist with advancing Banquet Orders and ensure prompt communication with the operations team
- Attend weekly meetings
- Oversee on-boarding protocols and train event managers
- Work with the city on any event permitting needs
- Ensure events are completed smoothly and step up to resolve any problems that might occur.
Requirements and skills
- Destination Management, Hospitality or Venue management experience preferred
- Minimum of 3 years experience in the event industry
- Must be able to work late evenings and weekends
- Skilled in project management
- Knowledge of Tripleseat and Willingness to learn new CRM and Event Platform
- Computer savvy
- Proficient at creating floorplans and modifying them as needed
- Outstanding communication and negotiation ability
- Excellent organizational skills
- A knack for problem-solving and a calm demeanor under pressure
- Excellent customer-service orientation
- A team player with a positive attitude
- BS/BA in PR, marketing, hospitality management or related field is preferred but not required
- Required hours are 40-60 hours per week depending on the event pipeline. Events can occur at any time of day and week.
- Candidates must be available to work late into the evening on some event days. Position reports to The Director of Sales.
Pay: $50,000.00 - $90,000.00 per year
