Job Summary
We are seeking an organized and professional Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer support. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage calendar appointments, scheduling meetings, and coordinating events.
- Handle incoming calls, emails, and correspondence, ensuring timely responses.
- Maintain organized records and files, both physical and digital.
- Utilize QuickBooks for basic financial record keeping and invoicing.
- Proofread documents for accuracy and clarity before distribution.
- Provide administrative support to team members as needed.
- Assist with patient or client check-in processes if working in a medical or dental setting.
- Ensure the reception area is tidy and welcoming at all times.
Qualifications
- Proven experience as a receptionist or in a similar administrative role is preferred.
- Organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills; bilingual candidates are encouraged to apply.
- A customer-focused attitude with the ability to provide exceptional support to clients and team members alike.
Must Have:
- Research/internet navigation
- General computer skills: Microsoft Package, QuickBooks, Google Suite applications.
