We are seeking a highly organized, dependable, and proactive Office Administrator / Personal Assistant to support our daily business operations and company leadership. The ideal candidate will be comfortable managing multiple priorities, communicating with clients and vendors, handling construction-related documentation, and assisting with both business and occasional personal administrative tasks.
Experience in construction, electrical contracting, engineering, permitting, or estimating is strongly preferred.
Responsibilities
- Manage calendars, appointments, and schedules using Microsoft Outlook.
- Provide administrative and executive support to company leadership.
- Proofread documents, prepare correspondence, perform data entry, and maintain company records.
- Coordinate meetings, project schedules, deadlines, and company events.
- Answer phone calls, greet visitors, and maintain a professional front-office environment.
- Prepare and process invoices, purchase orders, estimates, and job-related documentation.
- Assist with QuickBooks entries, expense tracking, project cost reports, and light bookkeeping.
- Prepare and follow up on meter spot applications, permit applications, and related utility or city documentation.
- Maintain organized digital and physical filing systems.
- Communicate with vendors, place material orders, and track deliveries.
- Assist with client communication and provide professional customer service.
- Prepare reports and help track project progress, expenses, and outstanding items.
- Coordinate with field staff, project managers, vendors, clients, and other departments.
- Assist company leadership with personal and administrative tasks as needed.
- Take initiative to identify and resolve administrative issues before they affect operations.
Qualifications
- Previous experience in office administration, executive assistance, personal assistance, or clerical support.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and follow-through.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Proficiency with Google Workspace.
- QuickBooks or similar accounting software experience is preferred.
- Excellent written and verbal communication skills.
- Professional phone etiquette and strong customer service skills.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
- Positive, dependable, and proactive attitude.
- Ability to work independently with minimal supervision.
- Previous experience in construction, electrical contracting, engineering, or a related trade is highly desirable.
- Engineering, electrical estimating, or plan-reading experience is a plus.
- Experience with estimating software such as PlanSwift or EBM is a plus.
Hours and Compensation
- Full-time position.
- Monday through Friday.
- Compensation based on experience and qualifications.
