We are looking for a highly organized, detail-oriented Administrative & Logistics Coordinator to become an essential part of our growing team. This position is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can manage multiple responsibilities with accuracy and professionalism.
Responsibilities
- Manage daily administrative operations and showroom organization.
- Process invoices, purchase orders, payments, and maintain accurate records.
- Perform bookkeeping and accounting tasks using QuickBooks.
- Coordinate domestic and international shipments with freight forwarders and logistics companies.
- Track orders, containers, and deliveries while communicating updates to clients and vendors.
- Prepare spreadsheets, reports, and business documents.
- Manage calendars, appointments, and internal communications.
- Draft professional emails and correspondence with clients, vendors, and international factories.
- Maintain organized digital files using Google Workspace.
- Support the sales and design teams with administrative tasks.
- Assist with inventory tracking and operational reporting.
- Handle multiple projects while meeting deadlines with exceptional attention to detail.
Qualifications
- Minimum 5 years of administrative experience (required).
- Minimum 3 years of QuickBooks experience (required).
- Experience with international shipping, logistics, and freight coordination (required).
- Advanced proficiency in Google Workspace (Gmail, Docs, Sheets, Drive, Calendar).
- Strong Microsoft Excel skills, including formulas, spreadsheets, and reporting.
- Comfortable working within the Apple (Mac) operating system and Apple ecosystem.
- Excellent written and verbal communication skills in English.
- Strong organizational and time-management abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional, reliable, and detail-oriented.
- Experience in the furniture, interior design, manufacturing, or luxury products industry is a plus.
