Position Title: Parish Bookkeeper (Part-Time)
Reports To: Rector / Parochial Vicar
Hours: Part-Time (approximately 25 hours/week)
Location: St. Mary's Catholic Cathedral | 1200 S. Washington Street | Amarillo, Texas
Position Summary
The Bookkeeper is responsible for managing the day-to-day financial operations of the Cathedral. This position ensures financial transparency, handles accounts payable/receivable, processes payroll, and assists in budget preparation. Because employment within the Catholic Church is fundamentally a ministry, the bookkeeper must support the spiritual mission of St. Mary's Catholic Cathedral and adhere to the ethical and moral teachings of the Roman Catholic Church.
Key Responsibilities
- General Accounting: Maintain accurate accounting records in accordance with Diocesan guidelines and Generally Accepted Accounting Principles (GAAP).
- Accounts Payable (A/P): Process and verify invoices, prepare checks for leadership approval, and maintain vendor records.
- Accounts Receivable (A/R): Record daily receipts, process cash/checks from Sunday collections, and make secure bank deposits.
- Payroll: Process bi-weekly payroll, track employee timecards, and coordinate with the diocesan payroll/HR office.
- Donor & Contribution Records: Reconcile contributions, assist with money-counting ministries, and generate annual tax statements for parishioners.
- Reporting: Prepare monthly financial statements and reports for the Cathedral Finance Council and the Roman Catholic Diocese of Amarillo.
- Compliance & Audits: Ensure compliance with all diocesan financial policies, tax regulations, and internal controls. Assist with year-end closing and annual audits.
- Other Duties: Perform other duties, as assigned by the Rector or Parochial Vicar.
Qualifications & Requirements
- Education/Experience: High School Diploma required; Associate's or Bachelor's degree in Accounting, Finance, or Business preferred. At least 3-5 years of proven bookkeeping experience.
- Technical Skills: Proficiency with accounting software (QuickBooks / QuickBooks Online), and strong working knowledge of Microsoft Office (especially Excel).
- Diocesan Requirements: Must successfully pass a criminal background check and complete Safe Environment / Ethics training as mandated by the Diocese of Amarillo.
- Cultural Competency: Practicing Roman Catholic preferred, with a strong understanding of Church structures and parish ministries.
Physical Requirements
- Prolonged Sitting: Ability to sit at a desk and work on a computer for up to eight (8) hours per day.
- Repetitive Motions: Frequent manual dexterity required for keyboarding, data entry, and handling paper documents.
- Vision & Hearing: Close visual acuity to read financial spreadsheets and monitor computer screens. Ability to hear and communicate via telephone.
- Lifting: Ability to occasionally lift and carry office supplies or heavy collection bags/boxes weighing up to 25 pounds.
- Mobility: Ability to navigate a standard office environment, including bending, reaching overhead, and traveling to the local bank to make secure deposits.
Work Environment
- Work is performed primarily in a standard, quiet parish office setting at St. Mary's Catholic Cathedral in Amarillo, TX.
