Job Overview
We are a high-end, patient-focused concierge dental practice seeking a polished, warm, and highly detail-oriented Insurance & Hygiene Coordinator. In our small office, every patient interaction dictates our reputation. You will act as the "director of first impressions" by handling phone calls with genuine enthusiasm, managing the hygiene schedule to maximize clinical efficiency, and navigating complex dental insurance claims. The ideal candidate balances elite-level hospitality with sharp administrative and billing skills.
Key Responsibilities
1. Concierge Patient Hospitality & Communications
- Serve as the cheerful, professional welcoming voice behind all incoming phone calls.
- Answer questions warmly and confidently to provide a tailored boutique experience.
- Efficiently triage patient inquiries, emergency requests, and incoming office emails.
2. Hygiene Schedule Management
- Own, protect, and actively fill the hygiene department's daily schedule.
- Proactively reach out to overdue recall patients via phone, text, and email.
- Strategically fill last-minute cancellations using a waitlist to prevent open chair time.
3. Dental Insurance Coordination & Billing
- Complete comprehensive insurance breakdowns/eligibility verification prior to patient visits.
- Prepare and submit clean electronic insurance claims daily with proper attachments (X-rays, charting, narratives).
- Track aging accounts receivable (A/R), follow up on unpaid claims, and confidently appeal denials.
- Clearly communicate out-of-pocket estimates and co-pays to patients with absolute transparency and empathy.
Requirements & Qualifications
- Experience: Minimum 2+ years of front-desk dental experience managing dental insurance processing and hygiene schedules.
- Software: Mastery of dental practice management systems (e.g., Dentrix, Eaglesoft, or Open Dental).
- Communication Style: Confident and cheerful phone presence; ability to build instant rapport with high-end, discerning patients.
- Knowledge: Deep understanding of dental codes (CDT codes), insurance claims processes, and coordination of benefits (COB).
- Traits: Self-starter who thrives in a small team setting, displays sharp attention to detail, and maintains discretion under HIPAA compliance.
Pay: $23.00 - $28.00 per hour
