We are a fast-paced, high-end family law firm seeking a professional, compassionate, and highly organized Client Relations & Receptionist team member to join our office. The ideal candidate will have prior receptionist or front desk experience, excellent communication skills, and the ability to make clients feel welcomed and supported during difficult times in their lives.

Full-Time Position

- 9:00 a.m. to 5:00 p.m.

- Monday through Friday
- 9:00 a.m. to approximately 2:30 p.m.

Responsibilities
- Greet clients and visitors with professionalism and warmth
- Answer and direct incoming phone calls
- Monitor front desk/reception area
- Manage scheduling and appointments
- Maintain an organized and welcoming reception area
- Assist attorneys and staff with administrative support
- Handle confidential information with discretion
- Communicate with clients in a compassionate and respectful manner
- Help create a positive and supportive client experience from first contact through follow-up
- Open and prepare office each morning
- Manage incoming and outgoing mail, FedEx, UPS, and deliveries
- Assist with billing and invoice processing
- Order office supplies, maintain kitchen/breakroom, and coordinate lunches
- Keep office, conference rooms, and common areas clean and organized
- Assist with client thank-you notes and referral outreach
- Make bank deposits as needed
- Prepare conference rooms and Zoom setups
- Provide administrative support to attorneys and staff as needed
- Process incoming pleadings from the e-service portal
- Input new potential client information and relevant case details into the firm’s case management software
- Coordinate scheduling and maintain attorney calendars
Qualifications
- Previous receptionist, front desk, or administrative experience preferred
- Legal office experience preferred, but not required
- Strong interpersonal and customer service skills
- Excellent verbal and written communication
- Ability to multitask in a fast-paced environment
- Professional appearance and demeanor
- Strong organizational skills and attention to detail
- Empathy and patience when interacting with clients experiencing stressful or emotional situations
- Proficiency with computers, phones, and basic office software
