Position Summary
Bauman Farms & Garden is seeking a detail-oriented and highly organized Accounts Payable (AP) / Accounts Receivable (AR) Specialist to support the financial operations of our growing agricultural, wholesale, retail, and garden center businesses. This position plays a critical role in maintaining accurate financial records, processing vendor payments, managing customer accounts, and ensuring efficient cash flow across multiple divisions.
The AP/AR Specialist will work closely with the Wholesale, Retail, Production, and Administrative teams, serving as a key point of contact for billing, collections, vendor relationships, account reconciliation, and financial reporting.
Key ResponsibilitiesAccounts Payable
- Process and verify vendor invoices for accuracy and proper coding.
- Match invoices with purchase orders, receiving documents, and approvals.
- Prepare and process weekly check runs, ACH payments, and electronic payments.
- Maintain vendor records, W-9 documentation, and payment files.
- Resolve invoice discrepancies and respond to vendor inquiries.
- Reconcile vendor statements and accounts.
- Monitor payment schedules to ensure timely payments and maximize available discounts.
- Assist with annual 1099 preparation and reporting.
- Maintain compliance with company accounting policies and internal controls.
Accounts Receivable
- Generate and distribute invoices for wholesale customers and other business accounts.
- Process incoming payments, including checks, ACH transfers, credit cards, and cash receipts.
- Reconcile customer accounts and research billing discrepancies.
- Monitor aging reports and follow up on past-due balances.
- Communicate professionally with customers regarding account status and payment arrangements.
- Maintain customer account records and credit information.
- Assist with credit applications and account setup.
- Support cash flow management through accurate tracking and reporting of receivables.
Wholesale & Retail Support
- Partner with the Wholesale Division to ensure accurate pricing, invoicing, and account management.
- Work closely with Retail Division managers to reconcile daily sales, deposits, and point-of-sale transactions.
- Process and track wholesale account credits, adjustments, and rebates.
- Assist with inventory-related invoice reconciliation and vendor billing reviews.
- Support department managers with budget tracking and expense reporting.
- Provide financial and administrative support during peak seasonal business periods.
Accounting & Administrative Responsibilities
- Perform monthly bank, credit card, and general ledger account reconciliations.
- Assist with month-end and year-end closing procedures.
- Maintain organized accounting records and supporting documentation.
- Prepare financial reports and spreadsheets as requested by management.
- Support external audits and provide requested documentation.
- Identify opportunities to improve accounting processes and efficiencies.
- Cross-train and provide backup support for other administrative and accounting functions.
- Maintain confidentiality of financial, employee, customer, and vendor information.
Qualifications
- Minimum of 2 years of Accounts Payable, Accounts Receivable, bookkeeping, or general accounting experience preferred.
- Proficiency in Microsoft Office, especially Excel.
- Experience with accounting software and point-of-sale systems.
- Experience in agriculture, wholesale distribution, retail operations, or seasonal businesses is a plus.
- Strong understanding of accounting principles and financial processes.
- Exceptional attention to detail and accuracy.
- Strong communication, customer service, and organizational skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Pay: $24.00 - $29.00 per hour
