Job Summary
The Billing Specialist supports the firm’s financial operations by preparing and managing accurate, complex client billing, maintaining billing data, and ensuring compliance with firm policies and client billing guidelines. This role works closely with attorneys and accounting staff to resolve billing issues, support reporting and month-end and year-end close processes, and maintain data integrity. THIS IS A HYBRID POSITION (3 days in office; 2 days remote).
Essential Functions and Responsibilities
- Prepare, edit, and distribute client invoices in compliance with firm and client billing guidelines
- Prepare monthly fee write-offs and provide billing adjustment support
- Generate accruals and other billing-related schedules as requested
- Prepare progress bills, historical bills, and client billing documentation
- Maintain attorney lists, billing rates, accruals, budgets, and required e-billing system data
- Assess and resolve billing issues raised by clients, attorneys, and accounting staff
- Support month-end and year-end billing close processes
- Assist with the preparation and distribution of financial and billing reports
- Review and analyze client trust balances, retainers, and unapplied payments for accuracy
- Provide cross-functional billing support to accounting team members
- Perform other duties and responsibilities as assigned
Experience
- Four or more years of billing, accounts receivable, accounting support, or related financial operations experience
- Associate’s degree or equivalent; an equivalent combination of education and relevant experience may be considered
- Experience in a law firm or professional services setting
- Working knowledge of SurePoint Finance Enterprise (formerly LMS V and LMS+) or an equivalent law firm financial and accounting system
- Proficiency in Microsoft Office Suite
Preferred
- College-level coursework in accounting, finance, business, or a related field
Knowledge, Skills, and Abilities
- Strong knowledge of law firm billing procedures, client billing guidelines, e-billing requirements, and billing close processes
- Knowledge of billing controls, trust and retainer review, reconciliations, write-offs, and accruals
- Ability to prepare, review, and distribute accurate client invoices on schedule and in accordance with firm and client requirements
- Proficiency maintaining billing data, including attorney rates, budgets, accruals, and e-billing system requirements
- Clear, professional verbal and written communication, with the ability to interact effectively with attorneys, clients, and staff
- Strong analytical skills, with the ability to identify issues, evaluate information, and implement effective solutions
- High level of accuracy, attention to detail, and proofreading skill
- Sound judgment and strict confidentiality
Schedule, Work Environment, and Physical Requirements
The firm’s standard hours of operation are Monday through Friday, 9:00 a.m. to 5:00 p.m., reflecting a seven-hour workday plus a one-hour meal period. Exact schedules are set by the supervisor and department expectations. This position is non-exempt, and is eligible for overtime; overtime varies and can be significant at times based on workload and billing deadlines. Evening and weekend work may be required as job duties demand. This position does not include supervisory responsibilities and does not require travel.
This position is designated as hybrid, with a general expectation of at least three days per week in the office. Hybrid work arrangements are at the firm’s discretion and may vary by department, with some roles requiring additional in-office presence based on business needs.
The role is performed in a normal office environment with minimal exposure to excessive noise, dust, or temperature variation.
