We’re looking for a highly organized Finance & Operations Coordinator to help keep the business running behind the scenes. This role is ideal for someone who enjoys creating order, keeping financial operations organized, and ensuring nothing falls through the cracks.
About the Role
You’ll own many of the recurring financial and administrative operations that keep our studio running smoothly. Working closely with the founder, accounting and leadership team, you’ll ensure invoices go out on time, payroll runs accurately, expenses stay organized, and compliance deadlines are never missed.
This is a detail-oriented role for someone who genuinely enjoys organization, follow-through, and improving systems.
Responsibilities
- Manage monthly bookkeeping, expense categorization, and credit card reconciliations
- Prepare financial records and documentation for our CPA, including month-end and year-end support
- Process bi-weekly payroll through Gusto and maintain employee payroll records
- Coordinate onboarding paperwork for new employees and contractors
- Prepare and send monthly client invoices, track outstanding balances, and manage billable travel expenses
- Maintain business licenses, vendor documentation, Certificates of Insurance, W-9s, DBAs, and other compliance records
- Respond to requests from our CPA and accounting partners
- Improve financial workflows and help keep our back-office operations organized and running smoothly

Preferred Experience
- 2+ years in bookkeeping, accounting, finance operations, or business administration
- Experience with payroll processing
- Experience using Gusto (or willingness to learn)
- Strong Google Workspace skills, especially Google Sheets
- Experience supporting small businesses or creative agencies is a plus
Bonus Skills
- Experience working with architecture, interior design, construction, or other professional services firms
- Experience with accounts receivable and collections
- Process improvement mindset
- Familiarity with project-based billing
Pay: $31.39 - $37.80 per hour
