Responsibilities
- Manage multiple tasks in efficient time frame for 2 executives.
- Time to time running errands in own vehicle ( fuel allowance per occurrence) or company vehicle
- Perform clerical duties including data entry, filing, and maintaining organized records.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Handle customer inquiries and provide support through effective communication and problem-solving skills.
- Utilize QuickBooks for basic bookkeeping tasks as needed. Software knowledge of Foundation( construction software) is a PLUS
- Maintain office supplies inventory and place orders when necessary.
- Support office management functions by ensuring a clean and organized workspace.
- Proofread documents for accuracy and clarity before distribution.
- Collaborate with team members to enhance workflow efficiency.
Requirements
- Person wanting to make a career as part of the thriving excavation company
- Proven experience as a receptionist or in an administrative role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Quickbooks
- Strong typing skills with attention to detail for data entry tasks.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Able to work under pressure and with short timeline projects
- Experience in reading blueprints is helpful but not required
- Experience in construction/excavating work is essential for this position.
- Knowledge of bookkeeping principles is a plus, particularly experience with QuickBooksand /or Foundation/ HCSS
- Ability to manage time effectively while handling multiple responsibilities simultaneously.
- Previous experience as a AR/AP Admin in a Construction/Excavation is advantageous but not mandatory.
