Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with exemplary phone etiquette.
- Oversee office management tasks such as filing, data entry, maintaining spreadsheets, and organizing office supplies to ensure a tidy and efficient workspace.
- Utilize software tools like Microsoft Office, Google Workspace, and productivity software to prepare documents, reports, and correspondence with accuracy.
- Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring optimal time management for staff.
- Handle bookkeeping duties using QuickBooks or similar accounting software to assist with invoicing, billing, and financial record keeping.
- Provide customer support by addressing client inquiries promptly via phone or email while maintaining professional communication standards.
- Support administrative functions related to medical or dental reception if applicable, including appointment scheduling and patient record management.
- Assist with clerical tasks such as proofreading documents, managing filing systems (physical and digital), and ensuring data entry accuracy.
- Maintain excellent organizational skills to prioritize tasks effectively in a fast-paced environment while supporting personal assistant responsibilities when needed.
Experience
- Proven experience in office management or administrative roles within a professional setting.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools.
- Familiarity with QuickBooks or other bookkeeping software is highly desirable.
- Experience handling multi-line phone systems and front desk operations in busy environments such as medical or dental offices is preferred.
- Bilingual abilities are a plus to enhance client communication and team collaboration.
- Demonstrated organizational skills with the ability to manage calendars, coordinate meetings, and prioritize multiple tasks efficiently.
- Excellent customer service skills combined with professional phone etiquette and effective communication techniques.
