The Operations & Systems Coordinator is responsible for maintaining and strengthening the organizational infrastructure that supports Female Strong's mission and growth. This position serves as the primary steward of the organization's systems, data, website, and operational processes. The successful candidate will ensure that organizational information is accurate, accessible, and actionable while supporting efficient operations across the organization.
This role requires a proactive, detail-oriented professional who can independently manage systems, identify opportunities for improvement, and support organizational effectiveness.
This is a part-time position, with an estimated range of 10-20 hours per week. Some flexibility in scheduling is available. The position may be performed remotely with occasional attendance at meetings, events, and organizational functions throughout Chicagoland as needed.
Essential Functions
Systems & Data Management
- Serve as the primary administrator and steward of the organization's CRM system (Neon CRM).
- Own CRM data integrity, maintenance, reporting, and user support.
- Develop and maintain dashboards, reports, and data summaries to support decision-making.
- Establish and monitor data management standards and processes.
- Identify opportunities to improve organizational systems and workflows.
- Maintain data accuracy across organizational platforms and databases.
- Create recurring and ad hoc reports for leadership, fundraising, program evaluation, and board reporting.
Website & Digital Platforms
- Manage and maintain the organization's website, ensuring information is current, accurate, and aligned with organizational priorities.
- Coordinate website enhancements and vendor relationships as needed.
- Support management of organizational digital platforms and communication systems.
- Support administration of Google Ads, Mailchimp, and related digital marketing systems.
Development Operations
- Process gifts and maintain donor records.
- Manage donor acknowledgments and related correspondence.
- Support fundraising tracking, reporting, and data analysis.
- Ensure accuracy and consistency of donor and constituent information.
Operations & Administrative Support
- Coordinate organizational logistics, scheduling, and operational processes.
- Maintain organizational records and files.
- Support vendor management and operational systems.
- Assist with implementation of organizational policies and procedures.
- Manage and support organizational technology platforms, including Neon Website + CRM, Google Workspace, Microsoft Office Suite, Basecamp, Mailchimp, and other operational systems.
- Develop and maintain documentation for organizational processes and system procedures.
Board & Leadership Support
- Coordinate board and committee meeting logistics.
- Prepare and distribute meeting materials.
- Maintain governance records and organizational documentation.
- Support leadership reporting and organizational communications.
- Assist in preparing board reports, dashboards, and organizational performance summaries.
Collaboration and Organizational Support
- Collaborate with staff, board members, contractors, and organizational partners to ensure operational effectiveness.
- Serve as an internal resource for system-related questions and support.
- Support organizational projects and strategic initiatives as assigned.
- Contribute to a culture of continuous improvement and operational excellence.
Qualifications
- Demonstrated experience managing databases and CRM systems. Experience with Neon One is strongly preferred.
- Strong technology aptitude and ability to learn new platforms quickly.
- Experience maintaining websites and digital systems.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to work independently and proactively.
- High attention to detail and commitment to data accuracy.

Pay: $25.00 - $35.00 per hour
