The Administrative Assistant (AA) is experienced, reliable, and task-oriented. This individual will work directly with the Office Manager and Administrator/Owner and will be responsible for performing many General administrative duties. The ideal candidate is highly self-motivated, professional, and possesses strong organizational and problem-solving skills with impeccable multitasking abilities, and is capable of managing their workload and prioritizing tasks.
Performance responsibilities:
- Responsible for reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Create and maintain client and employee files, including updating documents
- Provide general administrative support and oversee general office operations.
- Produces marketing materials for distribution to clients
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
- Maintain an organized filing system of paper and electronic documents;
- Professionally interact with clients and staff, supporting the agency’s mission and vision
- Maintains office equipment and supply inventory, including Personal Protective Equipment (PPE) for employees/clients
- Perform a variety of other duties as requested
Qualifications and skills:
Proficiency in Microsoft Office using a MAC Desktop with an ability to become familiar with agency-specific programs, software, and Google Suite.
- Excellent written and verbal communication skills
- Knowledge of the personal care industry and capable of learning the EVV system
- Excellent Organization and Time Management
- Candidate must be able to pass a Criminal History Background Check
- Candidate must be at least 18 years old
- Possess a valid driver’s license or state ID
Education and experience requirements:
- Possess a high school diploma or GED or higher education
- Minimum of 2+ years of administrative assistance
- 2+ years of Customer Service
Physical requirements:
Must be able to sit for long periods - frequent bending, stooping, and lifting up to 20 pounds
Must be able to type/use a computer for long periods
Must be able to climb Stairs **
