OMS Nashville is seeking a highly organized, detail-oriented, and compassionate Hospital Coordinator to join our team. The Hospital Coordinator serves as an important liaison between OMS Nashville, our patients, hospitals, and insurance companies, helping coordinate the many details involved in scheduling and preparing patients for hospital-based oral and maxillofacial surgery.
This is a great opportunity for an experienced Medical Office Coordinator, Dental Office Coordinator, Treatment Coordinator, Insurance Coordinator, Patient Coordinator, or Healthcare Administrative Professional who enjoys working with patients, insurance companies, and healthcare organizations.

What You'll Do
As a Hospital Coordinator, you will help ensure patients are prepared for their hospital-based surgical procedures and that all insurance and scheduling requirements are completed accurately and on time.
Primary Responsibilities
- Serve as a liaison between OMS Nashville, patients, hospitals, and insurance companies
- Coordinate scheduling for hospital-based surgical cases
- Verify patient insurance eligibility and benefits
- Obtain and document insurance coverage information
- Submit and track insurance predeterminations and pre-authorizations as required
- Respond to and process insurance company mail requests
- Submit insurance claims and follow up as needed
- Contact patients regarding insurance coverage, estimated co-payments, deductibles, and available payment methods
- Communicate clearly with patients regarding scheduling and financial responsibilities
- Coordinate with hospitals and surgical teams to ensure cases are scheduled appropriately
- Follow up on outstanding insurance or hospital-related requirements
- Maintain accurate and organized patient and insurance documentation
- Provide excellent customer service and compassionate support to patients throughout the scheduling process
- Answer incoming phone calls and assist patients and staff as needed
- Perform other duties as assigned by the Insurance Administrator, Practice Administrator, and/or doctors
What We're Looking For
The ideal candidate will have:
- High school diploma or equivalent
- Previous dental, medical, healthcare, insurance, or business office experience preferred
- Experience with insurance verification, insurance claims, pre-authorizations, or patient financial coordination is a plus
- Strong organizational and time-management skills
- Exceptional interpersonal and communication skills
- Ability to work independently with minimal supervision
- Ability to follow instructions and established procedures
- Ability to manage multiple priorities and meet deadlines
- Ability to work effectively in a fast-paced environment with frequent interruptions
- Ability to handle difficult conversations and resolve conflicts professionally
- Friendly, positive, and professional demeanor, even under pressure
- Strong attention to detail and accuracy when working with patient information and financial data
- Proficiency in written and verbal English communication
- Strong grammar, spelling, and punctuation skills
- Basic math and numerical skills
- Ability to organize, file, and maintain records accurately
- Strong computer skills and ability to learn new software and systems
- Ability to complete assigned tasks within established timeframes
Physical Requirements
This position requires the ability to work in an active office environment and manage the physical and mental demands of a busy healthcare setting. The employee must be able to sit for extended periods, use a computer and telephone throughout the workday, and demonstrate sufficient manual dexterity, hand-eye coordination, vision, and hearing to perform essential job functions.
