Responsibilities - What you’ll do
What you’ll do:
- Directly support regional functions – this includes monthly vehicle expenditure reports, reconciliation of Wright Express Fuel (WEX) bills, maintenance of files and records; requisitioning, storage, issuance, and/or local procurement of supplies, services and equipment; approval of requisitions.
- Review and reconcile WEX invoices for accuracy and completion; notify appropriate DSS divisional staff of any inconsistencies, and forward documentation to DFAS Accounts Payable.
- Review and reconcile vehicle expenditure logs for accuracy and completeness; notify and resolve inconsistencies found with DSS divisional staff and enter data in the State Fleet management system timely and accurately.
- Perform annual inventory assessments and reconcile SAM II inventory reports for the Division of Youth Services (DYS). This position will be responsible for the DYS facilities and office locations within the St. Louis region. Travel will be expected with the possibility of overnight stay.
- Assist with the tracking and monitoring of cell phones for DSS divisions, complete upgrades due and maintain accurate and up to date data.
- Assist DSS regional staff in the preparation of specifications for services, supplies and equipment; contacts vendors to obtain information on cost, availability, and conformance to specifications.
- Contact vendors to obtain price quotations and help DSS divisions with purchase services and other items from said vendors.
- Review and process bid solicitations and contract documents according to internal and departmental policies and procedures.
- Review purchase requests for accuracy and completion; enter purchase requests into Sam II and document status of order.
- Develop solicitation requirements for contract documents for DFAS Regions.
- Interact with vendors and regional offices on contract and purchasing related issues.
- Maintain systems (State Fleet Management System, WEX bills, Master Contract Lists, Shared Drives, Excel Spreadsheets, and other Databases) as needed.
- Maintain records and retention systems for State Fleet Management Monthly Expenditure Reports, WEX invoices, and DFAS local bid contracts.
- Submit tickets to ITSD for Equipment Hardware requests.
- Train and support clerical staff.
- Exercises independent judgment and initiative under close supervision; work is reviewed for conformance to established policies and procedures.
- Process orders through the online E-Store. Track and reconcile orders to billing. Order supplies to replenish the E-Store inventory.
- Performs other related work as assigned.
Qualifications - All you need for success
Minimum Qualifications:
4-6 years of relevant experience or a Bachelor’s degree and 0-2 years of relevant experience. (Substitutions may be allowed.)
