Order Entry Specialist/Receptionist
Position Summary
The Order Entry Specialist/receptionist is responsible for accurately processing customer orders and providing exceptional customer service across multiple communication channels. This role serves as a primary point of contact for customers and visitors while ensuring efficient order management and administrative support.
Key Responsibilities

Accurately enter and process 20+ customer orders daily in the SAP system

Review complex purchase orders and ensure all required information is complete and accurate

Respond to customer inquiries via phone, email, and in-person regarding orders, products, and services

Obtain and verify order-related details including payment, freight, availability, and order status

Follow up with customers to resolve discrepancies or issues in a timely manner

Coordinate with internal departments on shipping and billing processes

Provide backup receptionist coverage, including greeting visitors and managing invoicing paperwork

Screen and route incoming calls and communications appropriately

Stay informed on inventory levels and product availability
Qualifications

High school diploma or equivalent required

Previous order entry experience in an office environment

Proficiency with Microsoft Office Suite, particularly Outlook

Experience using order entry or ERP systems (SAP preferred)

Ability to process credit cards and other payment methods

Strong multitasking, prioritization, and organizational skills

Professional and courteous communication skills

Strong problem-solving and critical-thinking abilities

Ability to wear required personal protective equipment when necessary
