Administrative Professional
The Administrative Professional performs administrative work providing essential administrative support to our team. This position involves a diverse range of responsibilities, including managing logistics for meetings and events, handling bookkeeping tasks, supporting programs, community reporting, grant reporting, day-to-day program support and fulfilling clerical duties.
Essential Functions
Operational Support:
- Gets mail daily, sorts it, scans checks and bills
- Enter checks, bills, and deposits into quickbooks
- Follow appropriate financial protocol
- Answers phone calls and messages and manages the phone system
- Answers and distributes incoming emails from general account and calls to the Somerset, Inc. office
- Makes arrangements and sends reminders for Somerset, Inc. Committee meetings
- Stays on top of and mails thank you letters, checks, payments, etc..
- Operates Somerset, Inc. office equipment and services effectively
- Performs other operational tasks as assigned by the Executive Director
Administrative Support:
- Gains and maintains a knowledge of grant and sub-grant programs and their requirements
- Assists in processing sub-grant and grant applications and awards, ensuring all items are accounted for and properly filed
- Assists in preparing grant final reports, maintaining meticulous systems of organization and tracking grant expenditures
- Inventories, maintains, and updates Somerset, Inc. printed and video material
- Obtains and keeps accurate community records and reports to Pennsylvania Downtown Center on a quarterly basis
- Updates metrics for events and activities
- Maintains, updates, and organizes all Somerset, Inc. files and retrieves them upon request
- Performs other administrative tasks as assigned by the Executive Director
Job Qualifications:
- Possess a Bachelors, Associates, or relevant education in an office environment, preferably in a nonprofit setting.
- Exhibit a proactive and adaptable approach to office management, with a willingness to take on new program challenges
- Maintain excellent computer skills including proficiency in MS Office applications, Quickbooks, and Google Docs. Experience with other platforms is a plus.
- Demonstrate the ability to maintain accurate and well-organized files and records
- Be able to accomplish repetitive tasks without direction
- Maintain a positive attitude and a growth mindset in keeping with Somerset, Inc. culture
- Exhibit strong interpersonal communication skills with the capability to work well as a team and deal effectively and politely with the community
- Have knowledge and experience in bookkeeping and referrals that highlight attention to detail
- The ideal candidate will possess a commitment and understanding of 501c3 approach to community revitalization and the power of Main Street as an economic generator
- Driver’s license and personal transportation is required
Hours
This part-time or full-time position requires the employee to be available a minimum of 15 hours per week. Hours must be worked during “normal” work hours, generally between 8:30 am and 5:00 pm Monday through Friday at the Somerset, Inc. office, but may require occasional weekend and evening commitments.
COMPENSATION & BENEFITS:
The pay for this position shall be dependent upon the skills and experience of the person occupying the position.
Pay: $15.00 - $21.00 per hour
