Job Summary
We are seeking a dynamic and highly organized District Administrative Assistant to support our regional operations and ensure smooth office functionality across multiple locations. This energetic role requires a proactive individual who excels in office management, customer service, and administrative support. The ideal candidate will be a bilingual professional with strong computer literacy, exceptional organizational skills, and the ability to handle multiple priorities efficiently. As a key member of our team, you will serve as the first point of contact for visitors and callers, manage schedules, and provide vital clerical assistance to ensure our district runs seamlessly.
Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee calendar management and scheduling for district staff and meetings using Google Workspace and Microsoft Office tools
- Perform data entry, maintain accurate filing systems, and update records using QuickBooks and other office management software
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping
- Support office management activities by coordinating supplies, maintaining inventory, and ensuring the office environment is organized and efficient
- Provide customer support by addressing inquiries promptly, assisting with document proofreading, and delivering excellent service to internal and external stakeholders
- Assist with personal assistant duties such as calendar coordination, appointment scheduling, and task prioritization to optimize daily operations
Skills
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace applications
- Strong knowledge of accounting, financial management, bookkeeping principles and basic office management skills and ability is preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills with a focus on phone etiquette and customer service excellence
- Bilingual fluency to serve diverse community needs effectively
- Experience with front desk operations, multi-line phone systems, data entry, filing, and clerical tasks
- High level of computer literacy including typing speed and proofreading abilities
- Strong time management skills to prioritize tasks efficiently throughout the day
- Personal assistant experience or familiarity with calendar management tools is a plus
