We are seeking a highly organized and dependable Administrative & Accounting Assistant to support our day-to-day office operations. This position will primarily assist with Accounts Payable entry, customer billing, data entry, document management, and general administrative duties.
The ideal candidate is accurate, organized, dependable, comfortable working with numbers, and willing to learn.
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Position: Full-Time
Primary Responsibilities
- Enter vendor invoices into the accounting system for Accounts Payable
- Review invoices for accuracy and required supporting documentation
- Prepare and process customer billing and invoices
- Gather and organize tickets, purchase orders, receipts, and other supporting documentation
- Assist with Accounts Receivable tracking and routine customer follow-up
- Review employee timecards for completeness and accuracy
- Perform accurate data entry into company systems and spreadsheets
- Collect, organize, and match company credit card receipts
- Maintain customer and vendor records
- Maintain organized electronic and paper filing systems
- Scan, upload, and properly file company documentation
- Prepare and update Excel spreadsheets and routine reports
- Assist with employee paperwork and other office documentation
- Follow up with employees regarding missing tickets, receipts, timecards, and paperwork
- Communicate professionally with customers, vendors, employees, and management
- Provide general administrative support and assist with special projects as needed
Qualifications
- High school diploma or equivalent required
- Previous office or administrative experience preferred
- Accounts Payable, billing, or QuickBooks experience is a plus, but not required
- Strong computer and data-entry skills
- Proficiency with Microsoft Office, particularly Excel and Outlook
- Strong attention to detail and organizational skills
- Comfortable working with numbers and entering accounting-related data
- Ability to maintain confidential company and employee information
- Strong written and verbal communication skills
- Ability to learn new software, systems, and procedures

Position Details
