JOB SUMMARY:
The Passport Agent plays a vital role in facilitating passport application processes for residents and ensuring compliance with passport regulations and procedures. This position requires excellent customer service skills, attention to detail, and familiarity with passport application requirements and documentation.
ILLUSTRATIVE TASKS:

Assist applicants in completing passport application forms accurately and provide guidance on required documentation, fees, and processing timelines. Review applications for completeness and compliance with passport regulations.

Verify the authenticity of applicant documents, including birth certificates, identification cards, and proof of citizenship. Ensure that all documents meet the standards set by the U.S. Department of State for passport issuance.

Enter applicant information into passport application systems accurately and efficiently. Maintain organized records of passport applications, approvals, denials, and related documentation.

Provide courteous and helpful customer service to applicants, answering inquiries, addressing concerns, and explaining passport application processes, fees, and requirements. Handle sensitive information and maintain confidentiality.

Schedule passport application appointments for residents, ensuring efficient use of available appointment slots and timely processing of applications. Coordinate with other departments as needed to facilitate appointments.

Stay updated on changes to passport regulations, policies, and procedures. Attend training sessions and workshops to enhance knowledge of passport application processes and requirements.

Perform any and all other duties/responsibilities/tasks as assigned.

Actively participate in all City of Sweetwater government-sponsored community events and any emergency management duties in the event of a disaster.
KNOWLEDGE, ABILITIES AND SKILLS:

Proficiency in computer applications, data entry, and office software such as Microsoft Office Suite.

Excellent verbal and written communication skills to interact with applicants, colleagues, and government officials.
- Strong attention to detail and accuracy in processing passport applications, verifying documents, and entering data.

Ability to work in a team environment or independently.
- Ability to prepare reports.
MINIMUM REQUIREMENTS:

High school diploma or equivalent. Additional coursework in customer service, administrative procedures, or related fields is preferred.

Must be at least 18 years old.

Minimum of 4 years of experience in a customer service role, administrative support, or a similar position is required. Familiarity with passport application processes and documentation is preferred.

Proficiency in English and Spanish is required.

Must be able to successfully pass a criminal background check and drug screening process.

An equivalent combination of experience and education will also be taken into consideration.
