Description
The Senior Service Manager is responsible for leadership and management of the maintenance operations of the apartment community in accordance with Shea Properties standards, policies and procedures. The Senior Service Manager oversees the maintenance team to ensure the community’s physical plant is in top condition and manages and delegates specific carpentry, plumbing, painting, electrical, HVAC, masonry, appliance and other general and preventative maintenance repairs.
The Senior Service Manager, as with all Shea team members, is expected to conduct himself/herself in a professional manner that is consistent with Shea Core Values and the Business Ethics, Employee Conduct and Confidentiality policy. The pay range for this position is $89,000 - $108,000. The Senior Service Manager is also eligible to participate in the discretionary annual bonus plan. Job Duties

Oversee all aspects of maintenance operations at the community including supervision and leadership of maintenance staff, preparation and execution of annual maintenance budget, and execution of capital projects and preventive maintenance.

Leads maintenance staff selection/interview process. Recruits, hires, and trains all service staff in partnership with Sr. Community Manager or General Manager.

Supervises and provides leadership and direction to the service staff. Resolves personnel issues and supports team building with positive and open communication

Prepares annual reviews for all direct reports, sets annual goals and objectives and implements Professional Development Plans (PDP) for all associates.

Supports and motivates staff to participate in company sponsored classes and provided training. Ensures compliance with all mandatory training.

Prioritizes, and delegates maintenance work including maintenance service requests, apartment turnovers, and move out inspections and ensure work is completed within expected timeframe and at or above set Shea standards. Utilizes appropriate business applications (Yardi) to track the status of pending work and assignments.

Performs and/or delegates specific carpentry, plumbing, painting, electrical, HVAC, masonry and other general maintenance in accordance with Company standards and local city, state and federal building codes when applicable. May repair/maintain various property emergency and security systems.

Manages annual maintenance budget and assists General Manager or Sr. Community Manager in completing monthly variance report. Purchases inventory supplies and schedules vendor work adhering to the property budget and company policies and procedures. Reviews, codes, and approves all vendor invoices by utilizing appropriate Purchase Order and Invoice programs.

Assists in obtaining competitive bids for budgeted maintenance and capital improvements as requested by the Sr. Community Manager, General Manager, Regional Manager, or Facilities Manager.

Schedules and inspects all vendor/contractor work performed to ensure quality and completeness, and compliance with company standards.

Inspects the physical apartment site including all roofs, garages, carports, driveways, streets, stucco, siding, pools, saunas, building, recreational facilities, identifying all areas in need of immediate or future repairs and maintenance. Conducts weekly property inspection of all common areas of the property and completes the Property Inspection Checklist noting all extraordinary items and scheduling all required work.

Conducts bi-weekly safety meetings in accordance with Shea Properties written HAZCOM Program.

Schedules and/or provides on-call maintenance for evenings, weekends and holidays per company policy.

Must participate and lead lineup daily

Makes recommendations to the Sr. Community Manager or General Manager on new technologies, methods, and materials for improving operating costs.

Supports industry networking and encourages direct reports to participate in industry association functions.

Performs other duties as assigned. Actual job duties and responsibilities may vary depending on the size of the community.

Provides and maintains his/ her own hand tools customarily used in the industry and building trades.
Technical/Professional Knowledge (Knowledge/Skills, Education, and Experience)

Ability to perform advanced level maintenance related tasks including painting, carpentry, electrical, HVAC, plumbing, emergency/security systems, and pool maintenance.

Effective oral and written communication skills; ability to give clear direction and respond to inquiries. Must be able to speak effectively before groups of customers or associates of the organization.

Understanding of accounting principles and budget process. Ability to read and interpret numerical information.

Provide exceptional customer service.

Project management skills including planning, organizing, and coordinating tasks.

Negotiate and resolve conflicts.

Ability to operate hand tools.

Knowledge of First Aid and Safety procedures.

Prior experience in managing a staff (supervise, train, coach, develop, motivate, interview, hire, terminate) and lead by example.

Prior experience with new construction is desirable.

Computer proficient with knowledge of Microsoft Office products (Word/Excel/Outlook) and Yardi preferred.

High School Diploma or equivalent supplemented by specialized courses in HVAC, plumbing, electrical, and carpentry.

Minimum of 3 years property management experience at the manager/supervisory level with a proven track record of building and leading teams.
Work Environment
The Senior Service Manager works on-site at an apartment community and interfaces with external/internal customers, residents, and vendors on a regular basis. The position work schedule (days/hours) varies depending on the property. Hours are usually scheduled from 8 a.m. – 5 p.m. and are typically scheduled to work weekend days (Sat/Sun). Must be available to work over-time as needed and work on-call schedule. The Senior Service Manager should be flexible and readily available depending on the needs of the property. Must be able to travel as needed, 10-25% of the time.
Physical Requirements
The Senior Service Manager physical condition must be sufficient for the consistent and successful completion of the specific responsibilities defined for this position and for his/her performance to be in complete conformance with all professional standards defined for this position. While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, crouch, or crawl, talk, and hear. May be required to lift and/or move up to 50 pounds and operate power tools. Must be able to occasionally drive during the course of work.
