PrePaid-USA is seeking a detail-oriented, highly organized Accounts Receivable & Customer Support Administrator to manage accounts receivable responsibilities while providing ongoing support to our existing customers.
This role will be responsible for managing existing customer orders, invoicing, payment processing, accounting-related customer inquiries, and order communication. The ideal candidate is comfortable working directly with customers, managing multiple orders and accounts, and using QuickBooks to maintain accurate financial records.

Key ResponsibilitiesAccounts Receivable & Invoicing
- Manage the accounts receivable process, including generating invoices, processing payments, and posting payments in QuickBooks.
- Maintain accurate customer account and financial records.
- Monitor outstanding invoices and follow up with customers regarding overdue balances.
- Reconcile customer accounts and ensure invoices and payments are properly recorded.
- Investigate and resolve billing discrepancies, payment issues, and account-related concerns.
- Generate and review aging reports and other accounts receivable reports as needed.
- Provide customers with invoices, payment information, receipts, and other accounting-related documentation.
Existing Customer & Order Support
- Serve as a primary point of contact for existing customers regarding orders, invoices, payments, and account-related questions.
- Manage and support incoming orders from existing customers.
- Review customer order information for accuracy and ensure required details are received.
- Communicate with customers regarding order status, payment requirements, and next steps.
- Provide tracking information and shipping updates to customers.
- Respond to a high volume of customer phone calls and emails in a professional and timely manner.
- Maintain accurate records of customer communications, order updates, and account activity.
- Coordinate with internal Sales and Operations teams to resolve customer and order-related issues.
Account Management & Administrative Support
- Maintain organized and accurate customer account information.
- Assist customers with general account, invoicing, and order-related questions.
- Perform data entry and maintain accurate records in QuickBooks and other company systems.
- Assist with customer credit and payment requirements in accordance with company policies.
- Identify opportunities to improve accounts receivable and customer support processes.
- Provide additional administrative and accounting support as needed.
Requirements
- QuickBooks Experience: Minimum of 2 years of hands-on experience using QuickBooks for invoicing, payment processing, and account reconciliation.
- Accounts Receivable Experience: Minimum of 2 years of accounts receivable, billing, accounting support, or a similar financial role.
- Customer Support Experience: Experience communicating directly with customers regarding orders, invoices, payments, or account questions.
- Multitasking Skills: Ability to manage multiple customer accounts, orders, phone calls, and emails in a fast-paced environment.
- Organizational Skills: Strong organizational skills and the ability to maintain accurate customer and financial records.
- Communication Skills: Excellent written and verbal communication skills.
- Problem-Solving: Ability to investigate and resolve billing, payment, and order-related issues.
- Attention to Detail: Strong attention to detail and accuracy when processing invoices, payments, and customer orders.
- Time Management: Ability to prioritize responsibilities, manage deadlines, and follow up on outstanding items.
- Team Collaboration: Ability to work closely with Sales, Operations, and other internal departments.
Qualifications
- Minimum of 2 years of accounts receivable or related accounting experience.
- Minimum of 2 years of QuickBooks experience.
- Previous customer support or account management experience preferred.
- Bachelor's degree preferred. Additional accounting coursework or certifications are a plus.
