Purpose: The Administrative Assistant serves as the first point of contact for many members, visitors, and community guests and plays a vital role in supporting the ministry and mission of Trinity Lutheran Church. This position provides administrative and operational support to the Senior Pastor, church staff, congregation, and ministry leaders to ensure the efficient day-to-day functioning of the church office and its ministries.
Job Control: The Administrative Assistant reports directly to the Senior Pastor.
Administrative Support
· Provide administrative support to the Senior Pastor and church staff in matters related to church ministry operations.
· Assist with scheduling meetings, ministry events, and the use of church facilities.
· Prepare correspondence, reports, presentations, meeting agendas, and other documents as requested.
· Maintain accurate records, files, and church office documentation in both digital and physical formats.
· Coordinate office workflows and assist in ensuring administrative deadlines are met.
Communication and Hospitality
· Serve as the primary receptionist for the church office by welcoming visitors, answering phones, and responding to inquiries in a courteous and professional manner.
· Receive, sort, and distribute incoming mail and deliveries.
· Ensure that requests and messages are directed to the appropriate staff members in a timely manner.
· Assist with communication materials including bulletins, newsletters, announcements, mailings, reports, and ministry publications.
· Support communication efforts between church staff, ministry leaders, members, and the community.
Calendar and Facility Coordination
· Maintain the church master calendar and coordinate scheduling requests for church facilities and events.
· Work collaboratively with church, school, and Early Childhood Center staff to minimize scheduling conflicts and ensure effective communication.
· Assist ministry leaders with room reservations and event logistics as needed.
Office Operations
· Maintain office supplies and coordinate purchasing and inventory as needed.
· Support church office technology systems and work with designated staff or vendors to resolve issues when appropriate.
· Assist with maintaining membership records, databases, and church management software.
· Support financial and administrative processes as requested while maintaining appropriate confidentiality and internal controls.
Ministry Support
· Provide administrative support for worship services, special events, funerals, weddings, Bible studies, and other ministry activities as needed.
· Assist ministry leaders with administrative needs that support the mission and ministries of Trinity Lutheran Church.
· Collaborate with church staff to promote effective communication, teamwork, and ministry excellence.
Other Duties
· Perform additional duties and responsibilities as assigned by the Senior Pastor that support the mission and ministry of Trinity Lutheran Church.

Education and Experience
· High school diploma or equivalent required.
· Associate’s degree or bachelor’s degree in business administration, office administration, communications, or a related field preferred.
· Minimum of two years of administrative, clerical, customer service, or office management experience preferred.
· Experience in a church, nonprofit, educational, or ministry setting is beneficial but not required.
Physical Requirements
· Ability to sit, stand, and move throughout the office environment for extended periods.
· Ability to lift and carry office materials and supplies up to 30 pounds.
· Ability to operate standard office equipment and technology.
