ABOUT THE ROLE
Anywhere Wellness is a fully remote mental health care company on a mission to make quality therapy and psychiatric care accessible to everyone, wherever they are. Our providers and staff work from virtual offices across the country — and the glue holding it all together is a small, dedicated administrative team.
We're looking for a Practice Operations & Executive Coordinator who brings both the strategic eye of an operations leader and the hands-on reliability of a trusted executive assistant. This role is the connective tissue of our practice — keeping our admin team running smoothly, supporting our clinical providers, and ensuring our patients experience seamless care from first contact to ongoing treatment.

DAY-TO-DAY RESPONSIBILITIES

Oversee and support a small administrative team day-to-day

Serve as a resource, escalation point, and mentor for team members

Help set priorities, manage workflows, and ensure accountability

Identify gaps and help build better processes over time

Provide high-level administrative support to practice leadership

Manage calendars, communications, and follow-through on key tasks

Draft correspondence, prepare materials, and handle scheduling

Keep leadership organized and ahead of what's coming

Act as point of oversight for the billing specialist and care coordinator

Ensure workflows between billing, scheduling, and clinical care are smooth
-
Surface issues and problem-solve before they escalate

Help monitor key operational metrics and follow up as needed

Be the first call for providers and staff navigating operational questions

Coordinate across departments to resolve issues quickly

Communicate policy updates, scheduling needs, and practice changes

Build trust as the reliable center of the organization

Help manage the day-to-day systems that keep the practice running

Maintain documentation, SOPs, and internal resources

Support onboarding of new team members

Assist with special projects as the practice grows

Keep internal communication clear, timely, and organized

Foster a positive, professional remote team culture

Help new team members integrate into the virtual environment

QUALIFICATIONS
3+ years of experience in an administrative, operations, or executive support role — ideally in a healthcare, behavioral health, or service-based environmentExperience managing or overseeing other team members, directly or informallyFamiliarity with medical or behavioral health practice operations — billing cycles, care coordination workflows, or EHR/practice management software is a strong plusExceptional organizational skills and the ability to manage multiple priorities in a fast-moving remote environmentStrong, professional written and verbal communication — you represent the practice in every message you sendHigh emotional intelligence — you understand that the work we support affects real patients, and you approach every interaction with that in mindComfortable working independently in a fully remote, virtual office setting with minimal supervisionProficiency with standard business tools (Google Workspace, Microsoft Office, Zoom, Slack or similar); ability to learn new software quicklyLocated in the Pacific or Central time zone and able to reliably work 8 AM–5 PM PT
This is a role for someone who is equally comfortable leading and supporting — one day you're guiding a team member through a tricky billing question, the next you're building a scheduling system from scratch. You don't wait to be told what's broken; you notice it, fix it, and make sure it stays fixed.
