Collaborative Jewish Sunday School Administrator
Collaborative Jewish Sunday School (CJSS) Administrator is responsible for the smooth and efficient operation of the Sunday educational program. This position supports the three education directors to organize the school sessions, coordinates curriculum, orchestrates communications with families and staff, monitors attendance, and ensures that all Sunday activities run efficiently from arrival through dismissal.
Key Responsibilities
Sunday Program Operations
- Greet and welcome students and adults as they enter. Answer basic questions about the program for the day.
- Oversee general Sunday operations and assist with the coordination of program activities.
- Serve as a resource for teachers, students, parents, and volunteers throughout the session.
- Help ensure classrooms are prepared and materials are available before classes begin.
- Address routine operational issues and communicate concerns to appropriate leadership.
Attendance and Record Keeping
- Track and maintain accurate attendance records for students, teachers, and Ozrim (helpers that assist teachers) each Sunday.
- Follow up on absences as needed and maintain attendance reports.
- Ensure attendance information is organized and accessible for school leadership.
- Ensure student information is well-organized and documented and accessible to those who need it, while maintaining confidentiality of any privileged details.
Class-Time Responsibilities
- Monitor classroom attendance and provide support to teachers as needed.
- Assist with student supervision, classroom transitions and snack breaks.
- Coordinate with teachers and Ozrim to ensure smooth curriculum delivery.
- Respond to parent inquiries and student needs during program hours.
End-of-Session Responsibilities
- Troubleshoot any issues that arise with dismissal and getting the children reunited with their parents.
- Ensure classrooms and common areas are left organized and supplies removed from the building.
- Communicate any significant issues, incidents, or follow-up items to school leadership.
Weekly Communications
- By Tuesday evening each week, prepare and distribute a detailed weekly email to families and staff.
- Proactively follow up with teachers to obtain reports and updates in a timely manner.
- By Friday noon each week, distribute a second, concise email containing
- Last-minute notices.
- Program reminders.
- Schedule updates and important announcements for the upcoming Sunday.
Qualifications
- Self-motivated, anticipatory and responsive.
- Excellent written and verbal communication skills with teachers, staff, students, parents, and rabbis.
- Able to adapt quickly to changing circumstances.
- Proficiency with email, spreadsheets, and attendance-tracking systems.
- Strong attention to detail and follow-through.
Preferred Qualifications
- Experience in educational, religious school, youth program, or nonprofit administration.
- Experience communicating with families.
- Familiarity with student information and attendance management systems.
Schedule
- 24 Sundays scheduled from September to May, 9:00 a.m. – 12:30 p.m.
- 30 hours to prepare for school year.
- Additional administrative time during the week to prepare communications, manage attendance records, and coordinate with teachers and rabbis.
- Special events throughout the school year.
Pay: $30.00 - $50.00 per hour
