Position Summary
The Lead Front Office Coordinator plays a key leadership role in supporting the training, development, and daily success of front office operations across all Three Rivers Endodontics locations. This position is responsible for onboarding and mentoring new team members, promoting consistency in front office workflows, and providing operational support to ensure an exceptional patient experience. Working closely with practice leadership, providers, and the Revenue Cycle team, the Lead Front Office Coordinator helps maintain high standards of service, efficiency, and accountability throughout the organization.
Key Responsibilities
- Lead the onboarding, training, and continued development of all Front Office Coordinators across multiple office locations.
- Develop, maintain, and update front office training materials, policies, procedures, and standard operating documentation.
- Serve as a mentor and resource for front office team members by providing coaching, guidance, and performance support.
- Travel between office locations to provide training, operational support, and front office coverage as needed.
- Ensure consistent implementation of front office workflows, policies, and patient service standards across all practices.
- Greet patients and visitors in a professional, friendly, and welcoming manner.
- Answer a high volume of incoming phone calls while providing exceptional customer service and accurately scheduling patient appointments.
- Coordinate patient scheduling across multiple providers and locations to maximize efficiency and patient access.
- Verify insurance eligibility and benefits while maintaining accurate patient demographic and insurance information.
- Collect patient payments, reconcile daily transactions, and support front office financial processes.
- Collaborate with the Revenue Cycle team to resolve insurance, billing, and scheduling concerns.
- Monitor front office workflows and identify opportunities for process improvement, efficiency, and standardization.
- Facilitate regular team meetings, training sessions, and ongoing communication to support continuous improvement.
- Maintain accurate documentation and ensure compliance with practice policies, HIPAA regulations, and organizational standards.
- Support additional administrative and operational initiatives as assigned by leadership.
Qualifications
- Minimum of three (3) years of front office experience in a dental or specialty healthcare practice required.
- Previous leadership, training, or mentoring experience preferred.
- Strong knowledge of dental insurance verification, patient scheduling, and front office financial processes.
- Experience developing training materials, standard operating procedures, or educational resources preferred.
- Proficiency in Microsoft Office and the ability to quickly learn new software systems.
- Experience with Open Dental or similar dental practice management software preferred.
- Excellent organizational, communication, and interpersonal skills.
- Strong problem-solving abilities with a commitment to continuous improvement.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Reliable transportation and willingness to travel between office locations as needed.
Schedule
Full-Time: Monday – Friday, 7:30 AM – 4:00 PM, depending on patient flow
No evenings, weekends, or holidays.
