Overview
We are seeking a detail-oriented and knowledgeable HVAC Procurement Associate to join our team. This role is essential in supporting our HVAC service operations by managing parts inventory, procuring materials, and ensuring technicians have the right components to complete jobs efficiently. The ideal candidate will have technical HVAC knowledge to interpret service tickets, identify required parts accurately, and contribute to smooth warehouse and procurement processes.
Key Responsibilities
- Order materials and equipment requested by the Service Coordinators.
- Issue purchase orders (POs) for equipment, parts, and supplies from approved vendors.
- Order materials from vendors, negotiate pricing when possible, and track orders to ensure timely delivery.
- Receive incoming equipment and shipments: inspect for accuracy and damage, verify against purchase orders, and process receipts in the inventory system.
- Maintain accurate inventory records, including stocking shelves, conducting cycle counts, and managing stock levels to prevent shortages or overstock.
- Coordinate with vendors on returns, warranties, and credits for defective or incorrect items.
- Ensure the parts area/warehouse is organized, clean, and safe.
- Handle administrative tasks such as data entry, filing invoices, and generating reports on inventory and purchasing.
Provide excellent customer service to internal teams (technicians) and external customers if interacting at a counter
Qualifications and Requirements
- Preferred not required 2+ years of experience in HVAC parts, warehouse, procurement, or a related role (e.g., parts counter sales, inventory clerk in HVAC/wholesale distribution).
- Experience with issuing purchase orders, receiving shipments, and ordering from vendors.
- Proficiency in inventory management software, Microsoft Office (Excel, Word), and basic ERP systems.
- Strong organizational skills and attention to detail for accurate record-keeping and inventory control.
- Ability to lift up to 25lbs and perform physical tasks in a warehouse environment.
- Excellent communication skills for collaborating with technicians, vendors, and team members.

Pay: $80,000.00 - $110,000.00 per year
