The Admissions Coordinator plays a vital role in driving census growth while ensuring a seamless admission process for residents and families. Working closely with the Director of Marketing & Admissions, this individual coordinates admissions, manages census data, collaborates with interdisciplinary departments, and ensures all admission activities comply with organizational policies and regulatory requirements.
This position requires exceptional organizational skills, attention to detail, strong communication abilities, and a passion for providing outstanding customer service.
As an Admissions Coordinator, you will:
- Coordinate and facilitate the resident admission process from referral through admission.
- Reconcile the facility census daily to ensure accuracy.
- Maintain the electronic bed board and manage room assignments.
- Collaborate with Environmental Services and Nursing to ensure rooms are admission-ready.
- Distribute the daily Opening Census Report to designated leadership teams.
- Communicate all acute hospital readmissions to the Business Development team for follow-up.
- Contact residents and families to facilitate smooth readmissions when appropriate.
- Track and maintain department reports including:
- Admissions
- Referrals
- Facility Tours
- Conversion Rates
- Census Trends
- Marketing Activity
- Coordinate with clinical, business office, and interdisciplinary teams to ensure a seamless admission experience.
- Verify admission documentation for completeness and regulatory compliance.
- Deliver exceptional customer service to referral partners, residents, and families.
- Assist with census development initiatives and occupancy goals.
- Support marketing and community outreach efforts as needed.
- Ensure compliance with all company policies, Medicare guidelines, HIPAA regulations, and state/federal requirements.
Required:
- Minimum 2 years of Admissions or Healthcare Marketing experience
- Long-Term Care or Skilled Nursing Facility experience required
- Working knowledge of Medicare, Medicaid, Managed Care, and Third-Party Insurance
- Knowledge of medical terminology
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Experience with electronic medical records and Microsoft Office applications
- Ability to prioritize multiple tasks in a fast-paced environment
- Professional, compassionate, and customer-service driven attitude
Preferred:
- Experience working with hospital referral sources
- Previous census development experience
- Knowledge of PointClickCare or similar healthcare software
