PROJECT COORDINATOR (BILINGUAL ENGLISH/SPANISH)
Brazilian Pavers is seeking an experienced and highly organized Project Coordinator to support our growing hardscape and landscape construction operations. This position is responsible for coordinating projects from contract signing through project completion by working closely with customers, sales staff, project managers, crews, suppliers, and office personnel.
The ideal candidate must have previous experience in hardscape, landscaping, outdoor construction, or related construction fields and understand the flow of construction projects, material ordering, scheduling, and customer communication.
POSITION RESPONSIBILITIES
Project Setup & Pre-Construction Coordination
- Review all sold contracts and project documentation.
- Review project scope of work and construction plans.
- Verify customer information and project address.
- Confirm deposit status and project readiness.
- Determine permit requirements and coordinate permit process as needed.
- Review material requirements for each project.
- Coordinate estimated production schedules.
- Assign and coordinate project start dates.
- Coordinate crew assignments with management.
- Schedule material deliveries and equipment needs.
- Create and maintain project folders and documentation.
- Ensure all project information is properly organized before production begins.
Material Ordering & Vendor Coordination
- Review plans and measurements prior to ordering materials.
- Verify quantities and material takeoffs.
- Order pavers, coping, wall block, base materials, sand, turf, drainage materials, geotextile fabric, sealers, edging, and miscellaneous construction materials.
- Coordinate with suppliers regarding material availability and lead times.
- Confirm delivery dates and jobsite addresses.
- Track material orders and delivery schedules.
- Communicate material status to management and field personnel.
- Coordinate special orders and resolve material shortages when necessary.
Scheduling & Production Support
- Coordinate daily and weekly production schedules.
- Assist with crew scheduling and project sequencing.
- Coordinate equipment rentals and deliveries.
- Track project progress and production timelines.
- Communicate schedule changes to customers and internal staff.
- Ensure projects are prepared and ready prior to crew mobilization.
- Coordinate inspections, utility locates, and permit-related requirements.
- Support project managers with scheduling and administrative tasks.
Customer Communication
- Serve as a primary point of contact for customers throughout the construction process.
- Confirm project start dates and scheduling updates.
- Explain project timelines and next steps.
- Respond to customer questions and concerns.
- Coordinate customer requests and change orders.
- Maintain professional communication throughout the project lifecycle.
- Schedule final walkthroughs and project completion appointments when required.
Administrative & Documentation Responsibilities
- Maintain accurate project records.
- Upload and organize project documents, photos, permits, contracts, and correspondence.
- Track project status and maintain company reporting systems.
- Assist with job costing and project tracking when required.
- Ensure all required documentation is completed and filed properly.
- Maintain communication logs and project notes.
- Assist with Collections
Required Qualifications
- Bilingual English and Spanish required.
- Minimum 2 years of experience in landscaping, hardscape, construction, or project coordination.
- Strong understanding of pavers, retaining walls, turf, drainage systems, outdoor living projects, and general construction processes.
- Excellent organizational and multitasking abilities.
- Strong customer service and communication skills.
- Ability to work in a fast-paced environment while managing multiple active projects.
- Proficient with Microsoft Office, Google Workspace, email, calendars, spreadsheets, and construction management software.
Work Schedule
- Remote operational support .
- In-office hours from 7:00 AM – 4:00 PM, Monday through Friday.
- Additional flexibility may be required based on project schedules, customer needs, deliveries, and company operations.

Pay: $55,369.48 - $65,660.02 per year
