Position Description
Looking for a very outgoing, highly organized administrative assistant. The role includes a mixture of clerical tasks and patient interaction. We consider our practice to be a concierge and boutique style environment. Ideal candidates are expected to effectively connect with patients both in-person and over the phone, making them feel special from the moment they enter the practice. Attention to detail is critical for ensuring that tasks are completed on-time and efficiently. Strong computer skills and the ability to learn new systems quickly are essential.
We're looking for someone with a high level of motivation, a strong sense of organization, and the ability to navigate challenging situations calmly, resolve issues, and deliver difficult messages with professionalism. This is a growth-oriented role: the right person will have real opportunities to take on more responsibility and earnings over time.
Responsibilities
- Scheduling and Calendar Management — arrange and coordinate meetings, appointments, and events to ensure efficient use of time
- Document Preparation and Filing — create, edit, and organize documents, reports, and correspondence using Google Docs and Sheets; maintain both electronic and physical filing systems
- Customer Service and Reception — greet visitors, answer inquiries, and provide support to patients, vendors, or employees
- Phone and Email Communication — handle incoming calls, manage Gmail correspondence, route messages, and ensure timely follow-ups
- Issue Resolution — navigate challenging situations professionally, resolve conflicts, and deliver messages tactfully
- Data Entry and Record Keeping — input and update information accurately in databases and spreadsheets
- Office Coordination — order supplies, maintain office equipment, and coordinate with vendors or service providers as needed
- Support for Teams and Departments — assist with interdepartmental communication, project support, and other administrative tasks
- Technology Support — Learn systems in the office and be able to resolve issues as necessasry
- Training — Learn systems and have the ability to show others how to use them
